PRIMARY PURPOSE:


Facilitate the efficient operation of the school administrative office and provide administrative assistance services to the school's Campus Director and administrative staff.


QUALIFICATIONS:


Education:

High school diploma or G.E.D.


Special Knowledge/Skills:


  • Spanish proficiency (verbal/written)
  • Effective telephone, organizational, written communication and interpersonal skills
  • Excellent typing and communication skills
  • Ability to maintain confidentiality
  • Team oriented and selfmotivated
  • Ability to maintain accurate and auditable records
  • Ability to exercise judgment in correcting data errors or omissions
  • Ability to meet established deadlines
  • Ability to operate various office equipment (e.g. telephone, typewriter, fax machine, scanner, badgemaker, ID scanner/labelwriter and other office equipment)

Experience:


  • Minimum of oneyear administrative assistance experience preferred in a public school

MAJOR RESPONSIBILITIES AND DUTIES

  • Welcoming parents, children, and guests to the school.
  • Assist front office staff, students, other staff, and parents.
  • Receive incoming calls, take reliable messages, and route to appropriate staff.
  • Notify and coordinate with the front office backup support person when leaving and returning from station to ensure station does not get left unattended.
  • Serves as English/Spanish interpreter for parents, teachers, and staff for effective communication.
  • Communicate and assist students, staff, and parents as needed while maintaining a positive atmosphere.
  • Translate letters/documents from English to Spanish.
  • Perform the usual office routines and practices associated with a productive office (e.g., telephone, typing, copying, filing, scheduling, etc.).
  • Responsible for making identification badges as assigned.
  • Maintain proper files to include inventory of school supplies, mailing lists, student's records, visitor logs, and communication.
  • Receive, store, and issue supplies and equipment.
  • Sort, distribute, or deliver mail and other documents.
  • Prepare mailings in both English and Spanish to parents, students and staff
  • Type correspondences, make travel arrangements, and maintain records and files
  • Prepare purchase orders and requisitions for needed materials and release payment authorizations in a timely manner.
  • Exhibit professional telephone etiquette utilizing both English and Spanish.
  • Coordinate facilities and materials/equipment needed for meetings and events.
  • Maintain a daily teacher attendance log and records for substitute teachers.
  • Assist Attendance Clerk when needed.
  • Prepare instructional materials, meeting agendas, honor rolls, graduation lists as requested, using computer.
  • Schedule meetings and appointments and assist in maintaining school calendar of scheduled appointments.
  • Maintain a log of visitors to the school.
  • Greet/receive staff and direct them to appropriate office or meeting.
  • Refer inquiries or problems to appropriate office.
  • Maintain media file.
  • Handle several projects simultaneously.
  • Remain current on school information for the public, i.e., school calendar, campus bell schedules, etc.
  • Assist in routine office communications and operations.
  • Attend district report card nights, ceremonies/celebrations as assigned
  • Update display with district notices/events.
  • Assist in large projects for the district.
  • Ensure proper money handling procedures for funds collected from ID badges and lunch money, locking up and turning in daily to business office for deposit.
  • Attend conferences with parents when needed for translation.
  • Work nights, weekends, and holidays when needed.
  • Perform other duties as assigned.

WORKING CONDITIONS:


Equipment Used:

Computer with appropriate software, Microsoft Office Suite (Excel, Word, etc.), printer, calculator, typewriter, copier, facsimile machine, and other specialized equipment.

Reading; ability to perform basic mathematics; ability to communicate effectively (verbal and written) in both English and Spanish; ability to attend to detail; maintain emotional control under stress; work with frequent interruption
