REPORTS TO:
Director of Athletics
TERMS OF EMPLOYMENT:
- 12 month, fulltime
QUALIFICATIONS:
- College degree, preferred
- Adminstrative Assistant experience a MUST
- Experience in education and athletics is preferred.
- Demonstrated ability to establish and maintain positive relationships with others as part of a team.
- Must have good communication and organizational skills, maintain confidentiality and be flexible.
ESSENTIAL JOB FUNCTIONS
Some duties include:
Administrative
- Assists during the preparticipation physical examinations of all athletes and organizes the signup information for each athletic season Processes and maintains confidential medical records for all studentathletes
- Creates and maintains accurate team rosters for all sports
- Determines and reports the academic eligibility of current athletes to the Athletic Director and appropriate coaching staff
- Verifies and communicates with all assigned officials to verify all their clearances are on file
- Recommends dismissal times for athletes involved in away contests and coordinates transportation
- Assists with the planning of all awards receptions & banquets
- Prepares all awards, certificates, plaques for distribution and senior recognition activities
- Assists with the recording of athletic records at each season's end
Communication:
- Acts as a liaison between the coaching staff and the Athletic Director
- Communicates with officials about payments and schedule changes, as per Athletic Director
- Monitors absences of middle school and high school athletes each day as well as student eligibility
- Oversees weekly/daily schedules with opponents to verify schedules are accurate
- Collects all postseason paperwork from entire coaching staff after the end of each season
Finance
- Assists with the creation and organization of bid lists
- Prepares purchase orders for new supplies and inventories and distributes supplies
- Sends letters and collects invoices for local businesses for our stadium sign sponsorships
- Assists Ticket Manager and deposits all ticket revenue at the bank after each contest
- Maintains official's spreadsheet to verify proper payment in Arbiter Pay
- Communicates with new vendors for contact information and W9 forms
PREEMPLOYMENT PAPERWORK REQUIREMENTS:
- PA State Police Clearance (Act 34)
- Child Abuse Clearance (Act 151)
- FBI Fingerprint Clearance (Act 114)
- School Personnel Health Form (Physical and TB test)
- PDE 6004 Form (Act 24)
- Sexual Misconduct/Abuse Disclosure Release Form(s)
