Under the direction of the Director of Medical Staff/PI Services, this position is responsible for coordinating the hospital's Continuing Medical Education Program, maintaining the hospital library to provide current medical literature, Internet access and reference services for physicians, hospital personnel, patients, their families and the general public and providing clerical support services to assigned Medical Staff departments, committees and chairmen.


Core Competencies:

Formulates and implements policies for the Medical Library and Continuing Medical Education Program.

  • Ensures library services meet JCAHO and other mandatory/accrediting requirements.

Ensures educational activities comply with CMA/ACCME accreditation standards and ACCME standards for commercial support so that the Continuing Medical Education Program maintains its CMA/ACCME accreditation status.

Implements and administers performance improvement plans for the Medical Library and Continuing Medical Education Program.

Implements and manages computer database and spreadsheet programs for the hospitals incident reporting system (Notification Forms), including reports and graphs.

Arranges payment of honorariums and reimbursement of expenses to speakers of hospital-sponsored continuing medical education activities.
Ensures grant funds received from commercial companies are forwarded to Accounting.
Selects books, journals, audiovisuals, CD-ROM products and Internet resources for purchase with assistance from advisory Medical Education/Library Committee.
Selects and purchases library materials, supplies, services and equipment from publishers, book dealers and other companies.

Provides interlibrary loan service for physicians, hospital personnel and other medical libraries using National Library of Medicines DOCLINE and LOANSOME DOC automated interlibrary loan request and referral systems.

Provides reference service for all physicians, hospital personnel, unaffiliated health professionals, patients and their families and the general public.
Classifies, catalogs and indexes all new acquisitions using the National Library of Medicine's Classification Scheme.
Coordinates the Continuing Medical Education Program's re-accreditation surveys conducted by the California Medical Association.
Plans and schedules weekly continuing medical education programs for the Medical Staff.
Processes topic requests for continuing medical education conferences.
Recruits qualified speakers for continuing medical education activities.
Maintains communications with confirmed speakers.
Evaluates needs of the Medical Staff to develop timely educational programs.

Evaluates effectiveness of all continuing medical education activities by compiling results of physician evaluation forms and monitoring attendance and recommends improvements and changes if indicated.

Processes physician requests to receive Category I continuing medical education credit for hospital-sponsored educational activities.
Coordinates the activities of, and works cooperatively with, the Medical Education/Library Committee.
Prepares agenda and transcribes minutes for meetings of the Medical Education/Library Committee.
Prepares and maintains records and statistical reports pertaining to activities of the Medical Library and Continuing Medical Education Program.
Maintains and updates physicians continuing medical education records.
Maintains documented records of continuing medical education activities sponsored by the hospital.
Maintains Medical Library and Continuing Medical Education Program web page content for the hospital's Internet site.
Prepares and distributes correspondence pertaining to library polices and services and continuing medical education activities.
Organizes and prepares agendas, attends and records minutes of the proceedings of other assigned committees and departments.
Supports and records performance improvement process for assigned departments and committees.
Prepares and manages all correspondence and follow-up work generated by assigned medical staff departments and committees.
Manages reappointment process at departmental level.
Assists with the proctoring process for assigned departments.
Maintains current departmental rules and regulations and privileges cards for assigned departments.
Acts as resource person for departmental chiefs, committee chairmen, and members.
Provides general office support and back up to other medical staff services positions.
Assists with orientation and training of new employees/volunteers, as assigned.
Utilizes appropriate and effective communication and problem solving skills in all interpersonal interactions.

  • Supports educational needs of House Staff and develops curriculum for graduate medical education.
  • Prepares and maintains house staff records in compliance with ACGME standards.
