WORK PERFORMED:


  • Responsible for the timely processing, quality control, indexing, scanning, and filing of all documents under the control of the Office of the City Secretary; including those located in the offsite City Secretary Records Room located at Blackhawk Facility.
  • Assists with special projects and all other duties as assigned.

SPECIAL APTITUDES AND ABILITIES REQUIRED:


  • Excellent verbal skills, both oral and written. Must be able to effectively communicate with employees, elected officials, and the general public.
  • Ability to read, analyze and interpret complex documents and other types of record media. Ability to multitask, establish priorities, work independently or as a part of a team, and maintain organization.

EDUCATION AND EXPERIENCE REQUIREMENTS:


  • High School Diploma or GED
  • Two (2) years in an office environment; records management and/or working with electronic records management systems and/or the City Secretary's Office.
  • Experience working in government offices.
  • Advanced computer processing skills in Microsoft Office, Laserfiche, and other jobrelated software.
  • Valid Texas Driver's License and a good driving record.
  • Complete CJIS Certification within the first three months from the date of hire.

PREVIOUS EXPERIENCE WITH POLICIES, PROCEDURES, AND METHODS:

  • Knowledge of the Federal, State and Local regulations regarding Records Management for local governments.
  • Knowledge and working relationship with the Texas State Library and Archives Commission (TSLAC).
  • Knowledge of records management, records retention, migration of records into electronic format and managing records center storage.
  • Knowledge of Laserfiche Records Management Program, forms, records retention, security, and disposition of electronic records.
  • Skill in effective oral and written communications.
  • Skill in independently prioritizing, tracking, and managing multiple projects, assignments, and duties to comply with statutory deadlines with strong attention to detail.
This position may require 24-hour availability during emergency conditions.
