    Job Title:
    Payroll Administrator


    Reports to:
    Treasury Director


    Position Purpose:
    Processes payrolls and maintains payroll records for multiple companies while providing administrative support to the Treasury Director.

    Within guidelines, this person performs various payroll and administrative duties of a complex and confidential nature while being self-sufficient and well organized.


    Employment at Will:

    Duties and Responsibilities:
    Payroll


    • Collect payroll information from applicable parties within the Hoffman companies.
    • Review data for special payroll circumstances, including multistate payroll, paid time off, and certified payroll, requesting additional information as needed.
    • Enter, review for accuracy, and submit payroll data in the HRIS/payroll system for weekly, biweekly, and monthly payrolls.
    • Prepare and submit 401k reports for each payroll to the third-party administrator.
    • Download, review, and distribute payroll reports or details to applicable parties.
    • Maintain certified payroll records, including the job list, wage determinations, and contact information.
    • Prepare and submit weekly certified payroll reports.
    • Prepare and submit information required for monthly owner/contractor-controlled insurance program reporting.
    • Assist with the auditing of various payroll records as needed.
    • Assist the Treasury Director with special payroll projects.
    Treasury


    • Assist with information gathering and report generation for various bank programs.
    • Assist the Treasury Director with research, special projects, and/or the implementation of new systems.
    Sales Tax


    • Compile, organize, and summarize data necessary for sales and use tax filings for multiple states and multiple Hoffman companies.
    • File periodic returns for multiple companies in multiple states.
    • Archive filings, payment confirmations, and backup documents.
    • Assist the Treasury Director with sales tax related projects.

    Position Requirements:

    • Associates Degree in Accounting or related area.
    • Payroll processing experience (ADP and certified payroll experience preferred).
    • 3+ years of administrative support experience.
    • Ability to exercise good judgement and maintain confidentiality in connection with critical and sensitive information, records and reports.
    • Meticulous attention to detail.
    • Appropriate sense of urgency and adherence to deadlines.
    • Strong competency in the MS Office Suite (Outlook, Excel, PowerPoint, Word).
    • Prior experience with ADP Workforce Now platform preferred.
    • Ability to use sound judgement in following and applying appropriate laws, regulations, policies and procedures.
    • Demonstrated ability to work proactively, collaboratively and independently.
    • Possess integrity and strong work ethic.
    • Excellent interpersonal skills with the ability to communicate with all levels of staff and work well independently or on a team.
    • Strong verbal, written, analytical and persuasive skills.
    • Strong organizational skills.
