Summary:
This position is responsible for a portion of company invoicing and billing.

Ensure accurate and timely processing of Accounts Payable, including research/resolution of vendor account and community issues, new vendor paperwork and check printing.

Must be able to generate reports and find discrepancies as well as cost-saving opportunities. Gather, sort, and file financial records.

This position is also responsible for all phone related duties, weighing materials on inbound and outbound vehicles, preparing shipping and receiving paperwork, handling, and reconciling cash transactions, performing data entry tasks, filing, and maintaining office organization.

Cross-training is essential to this role.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Core duties and responsibilities include the following:

  • Demonstrate strong attention to details when handling company transactions.
  • Maintain office organization and supplies.

  • Be responsible for the financial processing of transactions within company standards.
  • Handling accounts payable for separate entities and vendors.
  • Managing accounts payable using company software.
  • Obtain appropriate verification(s) and approval(s) for invoices before processing.
  • Gather and analyze information.
  • Input essential data into RIMAS (Point of Purchase system).
  • Identify product and weight discrepancies based on product and account knowledge.
  • Create and post Bills of Lading and Packing Slips for shipments.
  • Pay customers and reconcile cash drawer daily.
  • Properly process paperwork as required.
  • Create and update flyers, spreadsheets, signs, etc.
  • Proofread and edit documents.
  • Comparing purchase orders, prices, terms of payment and other charges.
  • Processing and posting weight tickets, receivers, and invoices to ensure they are paid in a timely and accurate manner while adhering to departmental procedures.
  • Create and update railcar sheets and notice railcar vendors.
  • Contact vendors for products and/or services as needed.
  • Keeps scale traffic moving smoothly and in accordance with company standards.
  • Ability to process and followup on "rush" items as needed.
  • Complete special projects.
  • Be a backup to other staff members.
  • Perform other duties as assigned.
