Friendly House, Inc., is a 501(c) 3 non-profit agency located in Phoenix, Arizona whose primary function is to provide a variety of educational and social service programming aimed at addressing the needs of low-income individuals and families, vulnerable populations and diverse communities.

Additionally, Friendly House operates a charter school, Academia del Pueblo, with the mission to provide an academic environment which promotes a culture of high expectations to students from diverse cultures.

Friendly House was organized in 1920 as the Phoenix Americanization Committee by a group of Phoenix citizens with the assistance of the United States Department of Education.

Position Summary


Under general supervision of Testing and IET Specialist, the Data Specialist helps handle day-to-day operations of the Adult Education Department's front office area, including but not limited to student outreach and enrollment/registration coordination; maintains student records; records and monitors required data into integrated student data base; and manages, expedites, and maintains files, records, and other documents to ensure accurate and complete files throughout the registration process.

Provides routine advice, guidance and assistance to departments, staff, and to prospective and current students regarding enrollment or records and registration policies and procedures.


Resolve routine process problems as they arise to ensure an efficient registration and orientation process, data entry and coordination processes, and efficient front office management.

Oversees and maintains accurate attendance records and data entry, supervising and delegating appropriately to their front office team members. Coordinates orientation events and maintains student outreach tracking and waitlist data. Assists with providing and advertising student services resources as needed.

Job Qualifications:


  • High School Diploma or equivalent
  • 2+ years of experience in data entry and customer service
  • Customer service oriented
  • Ability to work with people from various backgrounds and support diverse customers
  • Proficient typing skills
  • Excellent literacy and numeracy skills
  • Work in a fastpaced environment
  • Attention to detail
  • Bilingual English/Spanish
  • IVP Fingerprint Clearance Card or ability to obtain one

Preferred Qualifications:


  • Associate degree or higher
  • 3+ years of related experience in data tracking and data entry
  • TABE 11/12 and CLAS E coordinator training
  • Experience in nonprofit and/or client services
  • Professional proficiency in additional languages (Dari, Farsi, Mandarin, Russian, etc.)
  • Professional experience conducting program orientations and client outreach/client services

Responsibilities:


  • Coordinate the daytoday operations of the Front Office Adult Education team (Front Office Assistant, Testing and IET Specialist, and Data Specialist), including but not limited to optimizing front office coverage, practicing and promoting excellent customer service, and maintaining detailed and complete student records across various areas (e.g. attendance, outreach outcomes, registration, follow up conversations, etc.)
  • Manage and oversee the entry of student demographic data in State data management system.
  • Look for outside core partners or other noncore partner community resources or provide the customer with the information required regarding adult education.
  • Provide information about the program and internal/external community support services by phone, in person, and at community events.
  • Manage the creation of adult learner files and regularly update adult learners' files.
  • Maintain and keep records of phone calls, waiting list, eligibility information and other statistic information for the community and the organization.
  • Coordinate, with support of ESOL Program Coordinator and ESOL Program team (including Front Office team), the intake, orientation, and assessment of new students.
  • Closely collaborate with supervisors to ensure all assessments are in compliance and reflected in the data.
