- Acts as a backup resource for administrative positions for the practice, including but not limited to assisting with all Patient Services Coordinator and Referral Coordinator duties and responsibilities when staffing issues arise. Acts as Site leader when Manager of Operations is off site.
- Acts as a point person for EMR workflows. Collaborates with MedStar IS to obtain on site as needed. Assists with the implementation of EMR downtime procedures. Ensures patient-related documentation to be indexed/scanned/imported to the EMR is completed expeditiously.
- Analyzes supply usage, maintains working supply knowledge, and oversees ordering and maintenance of office and clinical supplies within the site.
- Assigns clinical staff to complete equipment maintenance and infection control duties as needed.
- Assists in the development of department goals, objectives, policies and procedures. Ensures compliance with hospital/facility policies and procedures and governmental and accreditation regulations.
- Assists in the selection, training, orienting, and assignment of department staff. Coordinates training sessions related to new processes or tools on site.
- Demonstrates behavior consistent with MedStar Health mission, vision, goals, objectives and patient care Philosophy and adheres to MedStar Ambulatory Services Code of Conduct.
- Implements, monitors, and reinforces MedStar Ambulatory Services policies and procedures. Recommends new or modified policies and procedures to reduce cost and/or improve staff performance.
- Maintains personnel records and prepares and submits personnel forms. May initiate or make recommendations for personnel actions.
- Opens and closes the site including cash reconciliation, communication device set up, and daily deposits. Reviews encounter forms daily for completeness and correctness. Addresses coding problems with providers.
- Oversees front desk operations, appointment scheduling (phone and online) and appointment reminder process. Analyzes phone center productivity reports and makes staffing recommendations.

Analyzes call center productivity reports as well as supervisors the daily activities of the call center staff to meet customer needs in a responsive efficient manner, coordinates training and coaching to improve performance to make staffing recommendations.
- Participates in meetings and on committees and represents the department and hospital in community outreach efforts as required.
- Performs all user audits and functions related to staff inputting data into the Practice Management System. Performs assigned audit functions to ensure data is properly communicated to the billing company. Maintains ongoing communication with the billing company. Reviews billing reports.
- Performs other duties as assigned.
- Prepares and submits weekly payroll data sheets, collects and distributes payroll checks and resolves payroll issues within the department. Coordinates completion of vouchers, purchase orders, check requests, and other financial forms necessary for operation.
- Prepares associate work schedules and arranges for adequate coverage to maintain optimum patient service. Manages staff time off requests.
- Supervises referral process on site, including referral coordinator oversight. Identifies referral trends and reports these to the Manager of Operations.
- Works collaboratively with supervisors at MedStar entities to ensure provider schedules are current. Oversees communication with late and no show patients.
- Works with the Manager of Operations to modify and streamline front and back office work flows and improve other processes to create an efficient office. In collaboration with clinical support staff, identifies clinical issues that arise on site and refers those to Manager of Operations for further guidance.

All associates are accountable for their role in meeting patient experience standards.Oversees and coordinates all administrative matters relating to financial and personnel operations for a designated ambulatory practice location. Coordinates patient scheduling, registration, and managing patient overflow. Oversees daily functions of assigned staff. Responsible for superbill preparation for front-end billing process, management of supplies, customer service and service recovery, and daily operations work flow including the charge entry process. Ensures timely and accurate completion of patient encounter forms and charge entry into the billing system. Manages TES edit report and provides training to ensure charge entry data is properly entered.
