Part-time Camp Registrar - Newton, United States - West Suburban YMCA
Description
**: The Camp Registrar is responsible for delivering high quality customer service to ensure that each child is registered properly, through computer data input, verbal communication, and handling of money transactions. The camps at the West Suburban YMCA include Camp Chickami, Camp Frank A. Day, Camp Polliwog, and Camp Pikati.ESSENTIALFUNCTIONS:
- Performs program registrations/enrollments, tracking and reporting of program participants, handling incoming calls and in general, providing a high level of customer service interfacing with the West Suburban YMCA member families and the general public.
- Oversee registration process for Camps Chickami, Frank A. Day, Pikati, and Polliwog, including entering paperwork, collecting payments and membership dues, parent follow-up, etc.
- Create, update, and maintain all computerized and paper records pertaining to camp.
- Collection and data input for community benefits report.
- Handle billing, payment plans, refunds and collections.
- Work with camp referral agencies.
- Monitor enrollment numbers and communicate full sessions (i.e. to staff, on website).
- Ensure weekly statistics are tracked for Camp Frank
- Responsible for maintaining the cleanliness and organization of the camping office.
- Maintain continued communication with the Executive Director of Camping Services, Director of Camping Operations and Camp Directors.
- Assist with development of camp paperwork (i.e. registration forms, family handbooks).
- Run the annual returning and new camper registrations.
- Assist with camp fairs, home visits and other promotional events.
- Help with camp set-up, close-down and other projects as needed.
- Train staff, including seasonal staff, who will be dealing with camper registration, CCC, etc.
- Ordering supplies as needed.
- Working with the Membership Department to process childcare vouchers and help with other business needs/bookkeeping.
- Must be flexible and adaptable. Weekly schedule may include one weekend day and some evening hours.
- As a member of the YMCA staff team, attend & participate in staff meetings and trainings.
QUALIFICATIONS:
- Bachelor's Degree preferred or 4 years equivalent experience.
- Must possess an understanding of computer systems including Microsoft Suite, accounting procedures, and good business practices.
- This position requires the ability to communicate effectively with a variety of customers as well as the ability to manage multiple tasks and deadlines with mínimal supervision.
- Experience in record/bookkeeping, data management, customer service and & general
- Skills in working with families, conflict resolution, and public relations.
- Knowledge of group process - must agree to work in harmony with other staff, members and other families.
- CPR and First Aid Certification.
- Familiarity with a summer camp setting preferred.
