WHAT YOU'LL DO
The Intake Coordinator is responsible for providing services that support multiple functions in the Intake Department.

This position plays a key role in the success of the organization by providing exceptional customer service to clients, under the direct supervision of the Director of Operations.

This position will require support of the intake process to include communication with our families; collecting department data; and ongoing follow up.

The Intake Coordinator will also ensure quality of care by way of conducting Quality Assurance contacts.

  • Manages incoming client service inquiries by contacting families, answering questions, and scheduling followup meetings, including Center Tours conducted by our Director of Operations.
  • Conducts daily reports from funders on incoming referrals and inputs client information into designated systems.
  • Inputs all authorizations, including reauthorizations, into corresponding client portals by the funder.
  • Scheduling Initial Review appointments with the Director of Operations.
  • Submits referral requests to the Regional Clinical Director based on client needs.
  • Conducts Quality Assurance audits by outreaching to families to ensure quality of care; follows up with Clinical Teams accordingly.
  • Follows up with clients as needed, including former clients, to identify opportunities for reservice.
  • Gathering all departmental data as required by the Director of Operations.
  • Shadows and/or facilitates Intake Reviews as directed by the Director of Operations.
  • Audits Service Maps, Client Active Count, and other measurables for accuracy.
  • Provides responses to client inquiries.
  • Collaborates with other departments regarding authorizations and Quality Assurance.
  • Performs other duties as assigned.

WHAT WE'D LIKE YOU TO HAVE
Experience Requirements

  • Minimum:_
  • 1 year+ experience in a related field
  • Preferred:_
  • 2 years' experience in compliance/ risk management
  • Education Requirements_
  • High School Diploma or GED (required)
  • Associates Degree in a related field (preferred)
  • Required Skills_
  • Bilingual in English/Spanish (preferred)
  • Ability to learn basic computer programs and processes
  • Excellent phone manners
  • Advanced communication and organizational skills
  • Multi-Tasking
  • Attention to Detail
  • Basic understanding of Google Office Suite (i.e., Docs, Sheets, GMail)
  • Sales Experience
  • Customer Service
  • Physical Requirements_

While performing the duties of this job, the employee is regularly required to sit, talk, use repetitive motion, type, and hear.

The employee is frequently required to stand, walk, use hands and fingers to handle and feel, and reach with hands and arms.

The employee is occasionally required to bend, kneel, crouch, climb stairs, and reach overhead. The employee must occasionally lift and/or move up to 20 pounds.
