The Administrative Assistant will provide comprehensive administrative support to the CTO, facilitating the efficient operation of our technology department. This role requires a highly organized and proactive professional who can handle confidential information with discretion.
Responsibilities:
- Manage the CTO's calendar, including scheduling meetings, appointments, and travel arrangements.
- Assist in tracking departmental budgets and expenses which includes monitoring and maintain accurate budget numbers so that YTD spend can be monitored.
- The Admin will be liaising with the finance department.
- Assist the CTO in processing purchases which includes:
- Shipping/receiving equipment for new hires and collecting equipment for terminations.
- Updating inventory status for equipment
- Work off the FedEx website to create shipping labels, pack boxes, organize and track the return of equipment.
- Be the liaison for vendor purchases, working with the account manager on pricing/availability/etc
- Purchase items from vendor website and create corresponding POS
- Manage packing list/ check incoming purchased inventory/ Notify finance that equipment was received.
- Maintain an organized filing system for important and confidential company documents.
- Send/receive physical equipment and properly inventory in storage room
- Retire and dispose of old inventory:
- Contact disposal vendor
- Inventory equipment for disposal
- Collect certificate of destruction
- Facilitate internal communication within the technology department by distributing information and updates as needed.
- Schedules repairs and other onsite visits
- Manage department's meetings and calendars. (Vacations, sick, etc.)
- Liaison with the facility
- Building management: New hires, Terms, Badges.
- Manages consultant hours in Halo
- Perform additional administrative tasks and projects as required by the CTO.
Requirements:
- Proven experience as an Administrative Assistant, Executive Assistant, or similar role, preferably supporting Clevel executives.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent organizational skills and the ability to multitask and prioritize work effectively.
- Strong communication skills, both written and verbal.
- Ability to handle confidential information with discretion.
- A proactive approach to problemsolving with strong decisionmaking skills.
- Bachelor's degree in Business Administration or related experience is preferred.
Role is Hybrid in the Financial District
