Administrative Assistant Position Summary
Our home care agency is seeking a detail-oriented and organized Administrative Assistant to support the efficient operation of our office and enhance the delivery of exceptional care to our clients.
As an Administrative Assistant, you will play a vital role in managing administrative tasks, coordinating schedules, maintaining records, and providing exceptional customer service to clients and their families.
RESPONSIBILITIES
- Coordinate and schedule appointments, meetings, and interviews for staff, clients, and caregivers.
- Maintain accurate client records, including intake forms, care plans, and relevant documentation.
- Prepare and process invoices, payments, and insurance claims.
- Assist with payroll and maintain employee records, ensuring accuracy and confidentiality.
- Manage and update client and caregiver databases, ensuring data integrity and accessibility.
- Liaise with clients, their families, and caregivers to address inquiries, concerns, and requests.
- Prepare reports, presentations, and other documents as required.
- Assist with recruitment efforts, including posting job openings and coordinating interviews.
- Support quality assurance initiatives, including gathering feedback and conducting satisfaction surveys.
- Collaborate with other team members to ensure seamless communication and coordination.
REQUIREMENTS
- Proven experience as an Administrative Assistant or in a similar role is preferred.
- Bilingual in Spanish and English, must be able to communicate with clients in both languages is a plus.
- Excellent organizational and time management skills to prioritize tasks effectively.
- Strong attention to detail and accuracy in data entry and recordkeeping.
- Exceptional interpersonal and communication skills, both verbal and written.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Strong problemsolving skills and the ability to adapt to changing situations.
- Excellent customer service skills, with a compassionate and empathetic approach.
- Prior experience in the healthcare or home care industry is a plus.
- High school diploma or equivalent; additional certification or training in office administration is advantageous.
