Administrative Assistant Position Summary

Our home care agency is seeking a detail-oriented and organized Administrative Assistant to support the efficient operation of our office and enhance the delivery of exceptional care to our clients.

As an Administrative Assistant, you will play a vital role in managing administrative tasks, coordinating schedules, maintaining records, and providing exceptional customer service to clients and their families.


RESPONSIBILITIES

  • Coordinate and schedule appointments, meetings, and interviews for staff, clients, and caregivers.
  • Maintain accurate client records, including intake forms, care plans, and relevant documentation.
  • Prepare and process invoices, payments, and insurance claims.
  • Assist with payroll and maintain employee records, ensuring accuracy and confidentiality.
  • Manage and update client and caregiver databases, ensuring data integrity and accessibility.
  • Liaise with clients, their families, and caregivers to address inquiries, concerns, and requests.
  • Prepare reports, presentations, and other documents as required.
  • Assist with recruitment efforts, including posting job openings and coordinating interviews.
  • Support quality assurance initiatives, including gathering feedback and conducting satisfaction surveys.
  • Collaborate with other team members to ensure seamless communication and coordination.

REQUIREMENTS

  • Proven experience as an Administrative Assistant or in a similar role is preferred.
  • Bilingual in Spanish and English, must be able to communicate with clients in both languages is a plus.
  • Excellent organizational and time management skills to prioritize tasks effectively.
  • Strong attention to detail and accuracy in data entry and recordkeeping.
  • Exceptional interpersonal and communication skills, both verbal and written.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Strong problemsolving skills and the ability to adapt to changing situations.
  • Excellent customer service skills, with a compassionate and empathetic approach.
  • Prior experience in the healthcare or home care industry is a plus.
  • High school diploma or equivalent; additional certification or training in office administration is advantageous.
