    Description

    As a member of the Field Staff Department, the Field Staff Coordinator is responsible for handling most administrative and logistical arrangements for Lindblad's staff while in the field.

    "Staff" may include field staff, National Geographic experts, physicians, guest speakers, scientists, and other onboard positions that are part of Lindblad's expedition personnel or contribute to the natural history and cultural program.

    This position joins a team of other coordinators who handle these arrangements for staff across Lindblad's fleet and charter vessels on all destinations.


    GENERAL RESPONSIBILITIES

    • To perform this job successfully, the employee must be able to perform each essential duty satisfactorily. Additional duties may be added or assigned at any time.
    • Enters/updates schedules in staff management and reservations systems.
    • Creates bookings for staff in reservation system.
    • Generates, sends, and manages staff contracts.
    • Maintains staff pay details and pay rate information.
    • Coordinates with Field Staff Coordinator & Pay Specialist to process staff pay and expense reimbursements.
    • Maintains biographies for staff on website and intranet.
    • Manages and tracks staff training certifications and other required documentation.
    • Responds to staff questions regarding their contracts, pay and expenses, biography updates, etc.
    • Ensures implementation of policies and practices relating to above administrative duties.
    • Monitors vessel deployments and maintainsaccurate trip information in staff scheduling spreadsheets.
    • Maintains voyage data in staff management system to ensure proper reporting for schedules, contracts, and other documents.
    • Coordinates with Field Staff management/scheduling team, Expedition Development team, and other office personnel as needed.

    MINIMUM QUALIFICATIONS

    • Prior administrative experience with demonstrable time management, logistics, prioritization, and organizational skills.
    • Proficient in Sharepoint, One Drive and the online Microsoft Office Suite.

    PREFERRED QUALIFICATIONS

    • Excellent communication and interpersonal skills.
    • Ability to work independently and collaboratively in a fast-paced environment.
    • Strong attention to detail and problem-solving abilities.
    • Demonstrated ability to manage multiple projects at any given moment
    • Prior scheduling experience, such as reservation management, itinerary booking, etc.
    • Adaptable and comfortable dealing with ambiguity
    • Self-driven and excited about problem solving, sometimes with little to no direction
    $50,000 - $52,000 a year

    This role is eligible for a 5% annual bonus, based on performance.
