As the first person and last person clients interact with when they contact the office, this position is instrumental in making sure clients have a positive experience by providing service that exceeds expectations.

This position provides the clerical "front office" support for a comprehensive financial services practice, to include assisting with the routine set-up and servicing/maintenance of client accounts, support activities in the execution of clients' financial plans, scheduling, preparing for & recording activities from client meetings, and supporting the maintenance of the practice's administrative needs.


Responsibilities

  • Answer incoming calls to the office, screen/transfer calls, take messages and greet visitors with exceptional customer service. Maintain the office "lobby commercial" for clients and guests expected to visit the practice each day. Prepare the conference room for client and team meetings, and "re-set" it once the meetings are completed.
  • Prepare and post deposits of funds to client accounts by the required daily reporting deadlines. Send confirmation notices to clients, once complete. Assist with transfers and disbursements from client accounts as requested by the Client Service Manager.
  • Schedule client review meetings according to firm-established processes and procedures. Maintain all systems necessary to ensure that clients receive the appropriate number of meetings per year, per firm guidelines.
  • Ensure that client electronic files are complete and that routine scanning of client documents and meeting notes is kept current and in accordance with firm policies regulatory guidelines.
  • Assist the Client Service Manager with the new account opening process for clients. When assigned, ensure that all required client forms are completed in an accurate and timely fashion, to include regular follow-up actions until the entire account opening and account transfer process is complete.
  • Provide all appropriate maintenance on client accounts as requested by clients, the Client Service Manager and the Wealth Advisors in the office.
  • Assist the firm's Wealth Advisors with scheduling and recording all necessary continuing education to conform with broker/dealer and professional designation requirements. Participate in all steps necessary to help the firm maintain broker/dealer compliance standards, to ensure successful audits, when conducted.
  • Ensure that regular client reporting needs are delivered according to schedule.

Prepare reports and spreadsheets of client data, account transactions, tax information and investment holdings as requested by the Client Service Manager and Wealth Advisors from time to time.


  • Act as main contact for ordering and re-stocking office supplies, upon request and as needed. Assist with basic maintenance of office equipment and occasional service requests. Inventory and re-order supplies on a regular basis as needed to maintain the office building. Perform routine tasks to keep the office common areas clear and tidy, giving instructions to the weekly cleaning crew for further work needed, when necessary. Accept and distribute incoming mail and assist team members with getting outgoing regular and overnight mail out, as needed.
  • Assist the Client Service Manager with keeping the data contained in the firm's contact management system properly updated with current contact information, classifications, keywords and forms as business needs dictate.
  • Coordinate the issuance of Client Birthday & (client/wedding) Anniversary and Holiday cards with outside vendors to ensure prompt delivery.
  • Attend all training and information sharing meetings scheduled for the office. Attend firm client events when appropriate.
  • Other projects as assigned.

Pay:
$25.00 per hour

Expected hours: 40 per week
