Job Summary:
Maintains and reviews the medical records to assure the timely completion and proper authentication of all records. Safeguards the medical records while making them readily accessible at all times.


Essential duties and responsibilities:
Include the following.


Other duties may be assigned:

  • Audit medical records for accuracy and completion.
  • Filing and maintenance of documents in the medical record.
  • Compile list for all nursing staff and physicians indicating charts to be completed and give to BOM or Clinical Director.
  • Collaborate with designated nursing staff daily for physicians and anesthesiologists that will be present at the center for that day to sign labs and complete any incomplete charts.
  • Pick up charts daily for return to the medical records area.
  • Review, print, and file all operative reports daily.
  • Receives and copies requests for medical records and fulfill request in a timely manner.
  • Reviews medical records for final audit.
  • Provide relief for front business office functions as designated by BOM.
  • Crosstrained to fill in and effectively perform all other business office job related functions.
  • Serves as a resource to other staff members for front office tasks; i.e. print patient labels, print additional form as requested, etc.
  • Attends required in services, conferences and meetings as required.
  • Communicates effectively and courteously with visitors, physicians, and their office staffs, patients, and employees. Maintain patient, physician, and employee privacy and confidentiality per policy.
  • Ensures medical records are appropriately securely and/or locked per HIPAA policy.
  • Maintains designated certifications such as CPR, as offered by the center, if required.
  • Acts in accordance with the vision, mission, and business philosophy of the Center.
  • Complies with Policies and Procedures and adheres to safety guidelines to ensure a safe work and patient care environment.

Qualification requirements:

Education and/or Experience:
High School Diploma/GED; and six months related experience and/or training, or equivalent combination of education and experience. Computers skills with Windows Operating System, Work Excel, Access, and Exchange.


Language Skills:
Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence.

Ability to effectively present information in one-on-one and small group situations to patients, physicians, and other employees of the Surgery Center.
