Job Summary:


The Administrative Specialist works within the Office of the Chair in the Department of Family Medicine and Community Health under the supervision of the Administrative Manager and with a team of other administrative support staff.

This role will provide administrative support to the Office of the Chair by coordinating student coverage for the main office, serving as a back-up to other colleagues within the Office of the Chair, and supporting the Promotions Committee with preparing and building faculty promotion packets, tracking faculty clock changes, and preparing materials and presentations throughout the year in anticipation of dossier due dates.

The Administrative Specialist will also work on various projects that may be department-wide in scope to advance the operations and mission of the department.


Responsibilities:

Responsible for a variety of professional level work across a variety of administrative service areas including budget, finance, procurement, and human resources with impact across the institution in support of unit or institutional goals.


  • 10% Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
  • 20% Schedules logistics and secures resources for a designated work unit to contribute to the daytoday operational success
  • 20% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
  • 10% Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems
  • 20% Serves on committees and attends meetings, representing the interests of the unit or program
  • 15% Prepares, compiles, and submits faculty promotion materials and packets, prepares and submits attestations for faculty, and assists with faculty promotional clock changes/extensions, meetings, and presentations.
  • 5% Hires and supervises student hourly workers to provide front desk coverage.

Qualifications:


Required:

  • Ability to communicate effectively and professionally, both orally and in writing.
  • Familiarity and experience with Microsoft Office suite.
  • Ability to manage time effectively and work independently with mínimal supervision.
  • Excellent organizational skills.
  • Experience in an administrative setting providing administrative support and coordination.

Preferred:

  • Knowledge of faculty attestation and promotion process including schedule development, promotion process management, and portfolio/dossier preparation.
  • Ability to establish and maintain effective working relationships, including communicating and collaborating with a diverse group of colleagues ranging from faculty, staff, and students.

Work Type:

Full Time: 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Salary:


Minimum $42,600 ANNUAL (12 months)
Depending on Qualifications
The starting salary for the position is $42,600 but is negotiable based on experience and qualifications.
