Town of Waterford Youth & Family Services is looking for an Administrative & Intake Specialist. This is a full time position at 35 hours per week and excellent benefits.PURPOSE OF THE POSITION:
This position is responsible for administrative support involving word processing, reception, scheduling, clinical intakes, and the performance of varied office duties.
A.
EXAMPLE OF ESSENTIAL FUNCTIONS**:
- Processes correspondence, intakes, purchase orders, grant documents, reports, and statistics from compiled information.
- Maintains financial and statistical records.
- Maintains client files, filing systems, and files documents. Receives, sorts and distributes mail.
- Serves as general contact person for the office of Youth and Family Services Bureau. Answers telephone in polite and knowledgeable manner, takes accurate messages in confidence. Screens, greets, directs and announces visitors to the appropriate person. May handle routine mental health related situations and/or determine who in the organization should handle the caller or visitor's situation.
- Processes forms, documents, and grant paperwork within generally established procedures. Prepares materials for meetings and legal requirements.
- Maintains calendars or logs of own tasks and event calendars. Schedules routine and special meetings and appointments.
- Keeps track of attendance and other personnel records and submits payroll records for payment.
- Receives and records fees which may be required by the department or division.
- Orders and distributes office supplies.
- Coordinates and monitors timely receipt, processing and payment of contractual obligations, purchase orders and invoices.
- Assists with budget development and monitoring as required.
- Protects client confidentiality.
- Other duties as assigned.
MINIMUM QUALIFICATIONS:
(Knowledge, Skill, and Ability)
EXPERIENCE AND TRAINING
A high school diploma or the equivalent, plus three years of successful clerical experience including public contact and responsibility for word processing with a minimum of one (1) year experience in a mental health setting working with children and families or any equivalent combination of education, training and experience which provides a demonstrated ability to perform the duties of the position.
