Role:

We are currently seeking an AP Manager to help ensure that the department operates smoothly, maintain accurate and complete records regarding payments to suppliers, subcontractors, vendors, etc.

Process payments from clients, and hire, train, and support Accounts Payable staff members. You will also serve as a liaison between the Accounts Payable department and external parties.


Primary Responsibilities:


  • Manage and lead the Accounts Payable staff.
  • Partner with and support the operations of the company.
  • Process ACH payments.
  • Monitor and manage payables for all company divisions.
  • Compile, analyze, and report requested financial information to upper management.
  • Manage payables for all subcontractors, suppliers and vendors, and review weekly check runs while maximizing vendor discounts.
  • Manage invoice mailboxes to ensure invoices are processed timely.
  • Monitor monthly reconciliation of corporate credit cards.
  • Approve invoices and match to PO's in TimberScan to ensure job costing transactions are accurate, and make any necessary adjustments as required.
  • Review and process AIA subcontractor billings and approval from Procore and TimberScan.
  • Lead the remediation of vendors and subcontractor issues.
  • Perform H.U.T. (Highway Use Tax) reporting and payments.
  • File annual 1099 forms.
  • Review company rebate programs and confirm accuracy.
  • Support Project Management team, Compliance, and Accounts Receivable with payment and project closeout requests.
  • Develop and sustain all external relationships.
  • Manage all monthend closing responsibilities for the Accounts Payable department.
  • Assist with periodic expense analysis and other projects as they arise.
  • Work together with the purchasing department to ensure timely processing of commitments and payments.
  • Oversee reconciliation of vendor statements.
  • Initiate overhead costs saving ideas.
  • Propose ways of improving current processes and procedures.

Qualifications

  • BA/BS in Accounting or Finance
  • 5+ years' experience in a comparable role in accounting for a Construction Management/General Contracting company
  • Significant AP experience with advanced Excel skills and proficiency in MS Office Suite
  • Detail oriented, solid organizational skills, strong written and verbal communication abilities
  • Ability to work effectively in a fast paced, quickly changing environment, with aggressive deadlines
  • Timberline and RFMS system knowledge preferred
  • AIA billing knowledge preferred
  • Ability to correspond with vendors and employees and answer inquiries.
  • Performs other duties as required to support Accounting Department.
