JOB OBJECTIVE
The Administrative Review Scheduler will perform advanced (senior-level) project management work.
You will be responsible for the project of scheduling all administrative and procurement reviews for the programs managed in the division.
Work involves developing and overseeing the administrative review schedules for School Operations and Community Operations and USDA Foods to include estimates of schedule completion; monitoring the progress and schedule for reviews to include risk assessment, compliant reviews, and unplanned reviews to accommodate USDA and TDA compliance regulations and expectations.
You will serve as the liaison and point of contact for all division administrative and procurement reviews.You will handle advanced schedules for reviews and reporting situations/projects and assist program and executive management in developing reports for communicating to project stakeholders, management and other relevant parties.
You will work under limited supervision with considerable latitude for the use of initiative and independent judgment.ESSENTIAL DUTIES
Develop and implement appropriate schedules and ensure timely submission of schedules for publication.
Serve as a TDA liaison with F&N stakeholders, other governmental agencies, task forces, and various other entities to further promote successful collaborations and information exchange that support F&N program goals regarding the review schedule.
Coordinate the review response activity for the F&N division, including scheduling engagement and discussions with program management, managing day to day communications, post engagement follow-up, response documentation and actions and internal tracking.
Coordinate inter-agency initiatives regarding the schedule, to ensure cross section efforts are productive, practical and aligned with F&N priorities. Keep TDA management informed of all concerns, conflicts, and perceived issues at all times. Coordinate, conduct and facilitate all meetings and resource activities related to assigned projects.
Organize and monitor the documentation of schedule plans and process. Ensure that the schedules comply with F&N policies, practices and procedures.
Critically evaluate gaps in understanding and/or perceptions with actual schedule progress with planned progress to determine trends and variances. Develop tools to efficiently and effectively track and report on status of schedule. Draft process documents that outline the steps and responsibilities as needed.
Proactively communicate schedule project status and crucial messages. Develop and make presentations, assist with development of resources and ensure TDA communication resources are updated on assigned projects.
Coordinate, edit and prepare summaries of the current status of actions taken and planned to address outstanding (unresolved) audit issues for review.
Follow all TDA policies and procedures.
Perform other duties as assigned.
Qualifications
QUALIFICATIONS/REQUIREMENTS FOR THE POSITION
Bachelor's degree (one year of work experience related to the primary responsibilities may substitute for one year of college).
Three
(3) years work experience in Project Management in relevant areas of project assignment.
- A Master's degree in Project Management _
_or__ a Certified Project Management Professional (PMP), can substitute for an undergraduate degree and two (2) years of work experience._
PREFERRED QUALIFICATIONS
Work experience reviewing and/or assessing reporting for state or federal programs.
