Company Description
This role can be based in Mettawa, IL or South San Francisco, CA

  • Provides advanced administrative support to Head of Sales and three field directors. May provide backup support to other staff as needed.
  • Maintains and manages calendars, including expense reports, meeting and travel scheduling; proactively identifies and resolves scheduling conflicts.
  • Schedules and organizes onsite and offsite meetings, reserves meeting spaces and ensures conference rooms are prepared and set up prior to the start of a meeting.
  • Provides ongoing field meeting support for both live and virtual meetings including scheduling, agendas and followup notes.
  • Coordinates new employee onboarding and offboarding
  • Maintains org chart, photobook, territory maps, and roster.
  • Consistently handles confidential or businesssensitive information.
  • Professionally interacts with high level executives.

Qualifications

  • Minimum 3 years of administrative assistant related experience.
  • Experience providing support to a senior level or equivalent.
  • Intermediate to advanced knowledge of Microsoft Office Suite, Outlook, Excel, Adobe Acrobat, understanding of business processes and requirements.
  • Selfstarter able to function at a high level with general instruction; meticulous with details.
  • Self motivated with an excellent work ethic and high sense of urgency and ability to work in a fast paced environment.
  • Highly adaptable to change and ability to multitask and prioritize workload.
  • Commitment to providing excellent customer service internally and externally.
  • Teamoriented, cando attitude and desire to be productive contributor to overall organization.
  • Learns quickly and can change course quickly when needed.
  • Open to suggestions and innovation for improvement.

  • The compensation range described below is the range of possible base pay compensation that the Company believes in good faith it will pay for this role at the time of this posting based on the job grade for this position. Individual compensation paid within this range will depend on many factors including geographic location, and we may ultimately pay more or less than the posted range. This range may be modified in the future.

  • This job is eligible to participate in our shortterm incentive programs.
