Description
Village Counseling is seeking an _experienced _Administrative Assistant/Front Office for our busy, growing outpatient mental health practice in Ellicott City.
Schedule
Full-time, 40 hours per week, Monday to Friday, 8:30 AM to 5:00 PM, no weekend hours.
Job Duties
- Professional Interactions:_
- Remain professional in all interactions with patients, staff, and external partners.
- Greet and assist clients with a friendly and professional demeanor.
- Communication and Follow-Up:_
- Follow up on messages in a timely manner to ensure effective communication.
- Patient Information Management:_
- Collect patient information for clinical service providers, including demographics, patient intake forms, and other required information.
- Assist new patients with the intake process and ensure all necessary paperwork is completed in a timely and accurate manner.
- Billing and Insurance:_
- Update patient billing information as needed.
- Verify insurance benefits with the insurance provider using online tools and/or over the phone.
- Assist with insurance claims and billing inquiries, as needed.
- Electronic Health Records (EHR):_
- Assist patients in completing and uploading documents to our electronic health record system, TherapyNotes.
- Prepare and maintain patient files and records in the EHR system.
- Accurately enter patient data and maintain updated records.
- Accurately and fully document all patient interactions in the EHR.
- Administrative Support:_
- Provide general administrative support to clinical staff and management.
- Identify office, tool, and system needs, and report same to the Office Manager.
- Coordination and Scheduling:_
- Schedule, reschedule, confirm, and cancel patient appointments.
- Maintain awareness of clinician schedules, specialties, and restrictions.
- Compliance and Confidentiality:_
- Adhere to HIPAA regulations and maintain patient confidentiality.
- Ensure compliance with all office policies and procedures.
- Customer Service:_
- Provide exceptional customer service to patients and their families.
- Address and resolve patient complaints or concerns with professionalism and empathy.

Qualifications
- High school diploma or equivalent; Associate's degree or higher preferred.
- Previous administrative experience in a healthcare setting is highly desirable.
- Proficiency in Microsoft Office Suite/Google Office Suite and EHR systems (preferably TherapyNotes).
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Friendly, professional demeanor with a patientcentered approach.
Pay:
$ $20.00 per hour
