Career Technical Education Student & Career Services - Administrative Assistant (48 weeks/year)

GENERAL DESCRIPTION OF POSITION:

The Administrative Assistant for Student and Career Services is to serve as a positive public relations advocate for the school; greet guests; disseminate school information; handle phone calls in a polite informative manner; assist the Student & Career Services department with: correspondence and report preparation, scheduling meetings/appointments, copying; typing, filing and general office work.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Take messages and route phone calls as appropriate.
- ? Answer routine telephone inquiries regarding programs and procedures.
- ? Type and distribute correspondence as needed.
- ? Schedule appointments for department staff as requested/needed.
- ? Provide support in student services operations including, but not limited to Work-Based Learning, Dual Enrollment, and Early Middle College
- ? Provide support as needed for teachers regarding compliance and Perkins-related requirements.
- ? Type and send letters to parents as requested/directed by the Principal and/or department staff
- ? Coordinate/Communicate field trip/work experience notifications to local school districts.
- ? Coordinate transportation for Capstone Experience (Cooperative or Paid Experience), Work-Experience, and Job-Shadow opportunities with input from the instructional staff.
- ? Schedule and Coordinate Correspondence for County-Wide Counselors Meetings.
- ? Assist in the supervision of student-assigned time-outs, visiting SCS and In-School Suspensions.
- ? Maintain the student management systems for attendance updates.
- ? Assist in preparation of reports as requested/required.
- ? Use various software packages for communication and documentation purposes.
- ? Operate office equipment and perform general maintenance in the absence of the CACC Receptionist.
- ? Maintain regular consistent attendance and punctuality.
- ? Maintain a professional personal appearance.
- ? Adhere to district health and safety procedures.
- ? Adhere to Board Policies.
- ? Maintain Confidentiality.

MINIMUM QUALIFICATIONS:

High school diploma or general education degree (GED); one to three years related experience.

PERSONAL SKIILLS REQUIRED:

Ability to pass a typing test at 55 wpm. Must have essential technology skills, i.e. skilled at using PC computer, laptop, assistive communication devices/technology and other educational technology and software. Ability to work with people in an efficient and congenial manner. Basic knowledge of office procedures. Ability to communicate clearly, concisely and correctly both orally and in writing. Lifting, pushing and pulling up to 50 pounds. Patience in dealing with staff, parents and students. Ability to plan and work without direct supervision. Ability to perform duties with awareness of all district requirements and Board of Education policies. Ability to organize and follow through on multiple tasks. Must meet with timeline requirements.
