About the Role
The Receptionist/Administrative Assistant role supports the organization as well as the Operations Team.

The role is responsible for managing multiple administrative tasks and serves as the first point of contact in the office for visitors, clients and donors.

This role requires an individual who can champion the IM values and is an organized team player to keep the program effectively operating.


As the Receptionist/Administrative Assistant, you will have opportunities to execute important day-to-day responsibilities within the Operations Team and the wider organization, with focus areas on office administration like answering phones, welcoming visitors, preparing for events and meetings, working with vendors, and working with information management systems.

Within this role you will have a diverse set of responsibilities, will enable the organization to build even stronger operational systems and will implement existing administrative processes more effectively and efficiently.


Main Responsibilities

Provide administrative support to the program including:

  • Maintain a clean and orderly reception area.
  • Process invoices, resolve billing issues.
  • Process and distribute supply orders.
  • Maintain portions of some databases including certain employee, billing, inventory, and facilities ticket information.
  • Act as dispatcher for the facilities ticket system during business hours, dispatching staff and vendors as needed, and following up with requesters.
  • Assist with the planning and execution of certain special events; facilitate pick up and drop off of linens.
  • Perform other duties as assigned by supervisor including project work.

Qualifications, Skills & Experience

  • Bilingual in Spanish required
  • High school diploma or GED required
  • One year of relevant experience required
  • Strong computer competency with proficiency in Microsoft Office products (Outlook, Word, PowerPoint, Excel, Access)
  • Exceptional written and verbal communication skills displayed to clients, teammates and leadership
  • Excellent organizational and timemanagement skills and a heightened ability to manage multiple priorities and deadlines
  • Strong problemsolving skills, with an ability to effectively handle complicated situations with flexibility and calmness
  • Exceptional interpersonal and customerservices skills, experience working with individuals and groups from diverse cultural backgrounds desirable
