State Programs is currently seeking an Administrative Staff Assistant to become part of the Division of Support & Transformation.

State Programs portfolio encompasses the following areas:
Division of Business Operations, Division of Child Support Enforcement, Division of Licensing, and Division of Support and Transformation. This position reports directly to the State Programs Administrative Director.

This position provides confidential administrative and clerical support to the State Programs Deputy Commissioner and Division Directors and their direct reports


Duties may include:
coordinating travel arrangements; independently coordinating project management requests; composing and processing correspondence; responding to requests for information; liaising with various entities, to include Office of General Services staff, vendors, IT Services/VCCC and maintenance personnel to fulfill requests and/or resolve issues; preparing and submitting reports; complying with state procurement regulations; maintaining office supply and equipment inventory; processing invoices; assisting with training; and maintaining confidential files


Additional duties:
reviews and/or monitors timeliness, accuracy and completeness of administrative transactions and activities.

Corrects, coaches, trains, and interacts with staff to prevent and/or resolve exceptions and to create necessary documentation to comply with administrative requirements.

May also serve as a backup administrative resource for other Home Office program groups and will provide direct support to the Divisions within the State Programs portfolio.

Minimum Qualifications
Comprehensive working knowledge of administrative office principles and systems.

Considerable skill in the use of personal computers and word processing software; in drafting, formatting, and editing written correspondence, and knowledge of professional writing styles and formats.

Demonstrated ability to manage activities and administrative work by planning, prioritizing, and organizing workflow to accommodate peak periods; exercise sound independent judgment in the reception, handling, and disposition of a wide range of often sensitive communications and situations; communicate effectively orally and in writing with agency executives, state officials, staff, and the public.

Considerable skills in managing matters pertaining to procurement and expenditures and meet all deadlines. Considerable experience with Microsoft Office Applications.


Additional Considerations


Secretarial or office administration experience requiring the performance of a variety of duties associated with the administrative activities of an executive office.

Experience with eVA, FAAS, Cardinal and Small Purchase Card.


Special Instructions


VDSS will record information from each new employee's Form I-9 (Employment Eligibility Verification) into the Federal E-Verify system to confirm identity and work authorization.
