Accounting Assistant

Position Summary


Reporting to the Operations Manager, the Accounting Assistant is essential to the success of Ben's Bells mission through the execution of daily financial infrastructure and ensuring the accuracy of the organization's financial data.


Responsibilities
Bookkeeping and Data Entry

  • Enter weekly transaction reports from donor database and 4 retail locations' POS system
  • Generate weekly AR invoices as needed for all departments
  • Meet weekly with Executive Director and Operations Manager to review AP
  • Coordinate payment of approved AP
  • Maintain and organize accounting files, including archive at the end of each FY
  • Assist external accountant with the annual budget
  • Enter and reconcile company credit card transactions
  • Maintain vendor and customer records in QBO and hard copy files
  • Review donor database and POS monthly reports for accuracy and consistency to QBO
  • Manage the transfer of financial data from donor database, POS software, and payroll software to QBO monthly, reconcile to bank accounts
  • Handle all accounts receivable/payable including generating invoices, oversee vendor payments, and serving as the main point of contact for billing inquiries
Compliance

  • Assist external accountant with audit and 990 preparation
  • Support the Retail Director in coordinating and executing yearend physical inventory
  • Maintain W9s and issue 1099s annually
  • Create and maintain annual reports for Connecticut and Arizona, including Arizona Corporate Commissioner, quarterly Connecticut tax filings, and annual Arizona filings

Qualifications

  • 5+ years of experience in accounting
  • Experience with QuickBooks online
  • Experience with nonprofit standard financial practices

  • This position will remain open until filled
  • This position is flextime, averaging between 15 and 25 hrs/week, and is inperson at our 40 W Broadway location
