Pay: $20/hr, starting; Salary Schedule

May require some nights and weekend work

***: The Office Support Specialist is responsible for assisting in overall operations of the school. The Office Support Specialist reports to the Principal or Assistant Principal, but works closely with all levels of school and home office staff as well as with students, parents, and vendors. The Office Support Specialist is responsible for monitoring attendance and assisting the Office Support Specialist.


ESSENTIAL FUNCTIONS & JOB DUTIES:


Essential functions include, but are not limited to:

NETWORK CONTRIBUTIONS

  • Demonstrates knowledge of and supports Ingenium Schools' noble cause, values, standards, policies and procedures, operating instructions, confidentiality standards, and code of cooperation
  • Strive to implement, by instruction and action, Ingenium Schools' philosophy of education and goals/objectives in connection with Ingenium's Signature Practices
  • Continuously maintain and improve professional competence
  • Attend mandatory trainings, professional meetings, and educational conferences, as required
  • Initiate and exercise good judgment and positive working relationships with the community, students, staff and with public and private agencies

Job Duties:

  • Greet and assist parents, students, and visitors to the school in a friendly and professional manner, providing excellent customer service; greet, assign, equip and orient substitute teachers
  • Answer phones using a professional and courteous manner; route calls appropriately; take messages and distribute in a timely manner
  • Reply to general information requests with the accurate information; assist with typing, composing, faxing and copying of correspondence and letters
  • Process documents and materials such as student transfers, student cumulative reports and schedules; assist in the maintenance of student records, ensuring their accurate completion; distribute flyers; enter enrollment data, update student info and process student data for exits; request information from previous schools for student records and transcript requests
  • Maintain accurate attendance records and provide accurate information in mandated district and state reporting
  • If bilingual, assist with translations (English to Spanish) for IEP Meetings, school newsletters, flyers, parent meetings, and in all other needed areas
  • Meet with the Attendance Auditor on Pre Audits and Audit dates
  • Make phone calls to parents of students that are absent
  • Input tardies, unofficial tardies and distribute tardy notes
  • Make phone calls to teachers who have not submitted attendance
  • Report to Administration for SARB related purposes
  • Help support students when the nurse is out
  • Call classes for students who are picked up early
  • Submit student and employee incident, illness, or injury reports to Administration and follows up as needed
  • Create new attendance procedures to help organize attendance paperwork/procedures/technology and minimize discrepancies
  • Call parents when students have an accident, injury, or illness
  • Print attendance reports for students per parent request
  • Attend weekly meetings with Administration to create/complete weekly tasks for school activities
  • Responsible for making phone calls to parents and preparation of parent meetings
  • Translate documentation for teachers, parents and counselors
  • Demonstrate knowledge of, and support Ingenium Schools mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and the Code of Conduct
  • Provide the Home office with school pictures and activities as needed
  • Other general office duties/projects as assigned and needed

JOB QUALIFICATIONS:


EDUCATION:

  • Enrolled in college or possess BA/BS degree strongly preferred
  • Experience working with children of varied ages in a learning environment highly desired

KNOWLEDGE/EXPERIENCE:
Must have the ability to demonstrate and/or show competency in the following areas:

  • Bilingual in Spanish preferred
  • Intermediate proficiency in Microsoft Word, Excel, and Outlook
  • Ability to work with constant interruptions and remain focused; understand and carry out oral and written instructions; learn new procedures and upgrade skills
