Position Summary


We are seeking an AccountingAdministrative Assistant with 2+ years' experience to work primarily in finance and accounting bookkeeping responsibilities working directly with the Controller and secondly in other support roles for other departments.

Key Responsibilities

  • Create, send, receive, and process invoices.
  • Prepare biweekly aging reports with updates on Accounts Receivable (AR).
  • Enter Accounts Payable (AP) invoices in Unanet A/E our ERP Software, and process payment.
  • Assist in preparing weekly Account Payable (AP) aging report and Cash Flow Report.
  • Assist the Accounting team in executing budget and financial forecast activities.
  • Split Credit Card costs and expenses to appropriate cost categories in Enovate's ERP software system. Reconcile any missing receipts.
  • Monitor and audit employee time entry and ensure weekly manager approvals are current for invoicing purposes.
  • Update MS Excel report upon request.
  • Process employee expense report and ensure appropriate cost categories allocated.
  • Oversee project startup process to ensure project accounting information is adequately setup prior to project start.
  • Document processes to facilitate training on AP/AR processes.
  • Create new vendors and customer and vendor profiles.
  • Perform other duties reasonably associated with the above essential functions and additional duties by the Controller.

Administration Responsibilities

  • Proactively look for ways to streamline processes and gain efficiency.
  • Proactively report any issues, errors, or concerns
  • Assist with Insurance renewals.
  • Research and administrative support as required.
  • Maintain Client files.
  • Coordinate with 3rd party vendors as needed.

Minimum Qualifications

  • Bachelor's degree in business or accounting preferred.
  • Proficient in MS tools (Excel, Word, PPT, Outlook)
  • Proficient in accounting software, Unanet preferred.
  • Experience with payroll processes and systems.
  • Experience in a fastpaced work environment and ability to adapt to change.

$75, $90,000.00 per year
