DESCRIPTION


Under direction of the department manager, works within various broad guidelines and regulations to perform confidential, specialized and technical duties related to the admission and registration of students including the analysis, evaluation and maintenance of student records, prerequisite checks on incoming transcripts, and graduation requirements; coordinates census, attendance hours, and grade roster management; performs related duties as required.


This position will specifically focus on the support of dual enrollment districtwide through admission, registration, evaluating progress toward degrees and certificates, and evaluation of transcripts.

SALARY AND BENEFITS
Salary Range (27): The starting monthly salary range is $4,672 - $4,906. There are six annual step movements; initial placement will be at step 1, unless approved by the Superintendent/President.

REPRESENTATIVE DUTIES

  • Understands and implements Title 5 regulations regarding a student's right to privacy and the accuracy and retention of academic records (FERPAthe Family Educational Rights and Privacy Act of 1974).
  • Reviews roster data for accuracy and provides updated roster materials to instructors; provides technical support to faculty for the electronic submission of census data, hours of attendance and final grades including creation and maintenance of Frequently Asked Questions; ensures proper filing and maintenance of attendance records and reports for apportionment reporting and audit purposes.
  • Determines eligibility for and processes grade changes and record corrections, including academic and progress status updates.
  • Processes student petitions including requests for retroactive withdrawal, record adjustment, academic renewal, overlap of courses and others as needed.
  • Oversees transcript production, including electronic transcript process; provides training and completes process as needed including researching/evaluating transcripts and coursework for general education certification.
  • Evaluates academic records from other educational institutions to ensure District and state requirements are met; researches and determines applicability of appropriate transfer courses.
  • Researches and verifies accreditation status of colleges and universities; analyzes credential evaluation reports for foreign coursework, military schooling, and nontraditional coursework.
  • Assists with final review of eligibility for Associate degrees and certificates; assists students and counselors with the appropriate course of action to resolve denied petitions; assists with production of certificates and diplomas.
  • Provides proper control of funds received for fees, tuition and delinquent debts; reconciles department cash for deposit to Fiscal Services; reviews complex refund issues and advises staff and students of policies and procedures.
  • Maintains office supplies and equipment; orders supplies and requests service for equipment as needed; creates purchase orders as needed; assists in monitoring department budgets.
  • Assists in responding to technical questions from college staff; trains and provides work direction and guidance to students and parttime temporary assistants; coordinates the activities of the department in the absence of the Director.
  • Provides information services for veterans and eligible veteran dependent students; provides information about veteran programs; assists the Director in monitoring and reporting changes in enrollment status of students receiving VA educational benefits and with the certification process as the backup School Certify
