This incumbent works under the supervision of a Staff Services Manager I in the Division of Design. Performs a variety of assignments necessary to support the functions of the Division of Design.Duties include a variety of general office work including but not limited to purchasing using a CalCard; managing office supplies and equipment; scheduling various meetings and maintaining calendars; inventory; preparing and/or maintaining various forms, letters, spreadsheets, and reports; sorting and distributing mail, organizing, and maintaining files and assisting with special projects.
The Office Technician provides assistance to Design Supervisors by assisting them with administrative personnel duties, requiring average to above average complexity, including data retrieval from various internal Department database systems and programs such as Staff Central, IMMS, and Advantage; process and distribute incoming checks.
Needs to have excellent computer skills such as Excel, Outlook, Word, and Access.The incumbent will work in the Caltrans Accounting system Advantage requesting Travel Advances and reviewing Travel Expense Claims for accuracy.
Incumbent will be required to be familiar with District and Department policies, and the Bargaining units (MOU). Incumbent must be able to type 40 nwpm.A positive attitude and commitment to providing quality service that is accurate, timely, and exceeds customer expectations and maintains complete confidentiality.
