SUMMARY Inspired by a commitment to excellence, the Sales Coordinator works with the Sales Managers while assisting the Sales Department in various capacities. This position will assist in overseeing all aspects of the banquets and weddings from set-up / breakdown to detailing the sales contract. The position also assists with in-house day and destination groups preparing the material needed for arrival. This includes (but not limited to) assisting where asked in coordinating client needs for layout, timeline, menu, AV/Projector needs, ceremony, reception, cocktail, brunch, updates to BEOs, setup and breakdown, while helping to manage all details pertaining to the event.


ESSENTIAL DUTIES & RESPONSIBILITIES (include the following, other duties may be assigned)

  • Works with a high level of professionalism towards all customers, approaching all encounters with guests and colleagues in a friendly, serviceoriented manner. Must be very detail oriented.
  • Must be flexible. The sales department encompasses many roles and is responsible for the overall success of the resort. Our team members must be willing to assist where needed in the sales department.
  • Superior organization, strong written and verbal communication along with excellent time management skills.
  • Must be able to prepare and make presentations, utilize, and prepare spreadsheets / tracking systems.
  • Assists in updating and implementing a detailed plan for the execution of functions, including but not limited to BEO?s, event snapshots, tastings, layouts, timelines, floor plans, table assignments, decorations, menu options, summaries, av/projector needs etc. for every event.
  • Maintains constant communication with F&B Director, Executive Chef, Banquet server team and sales managers to ensure all expectations are met or exceeded.
  • Adheres to all established policies, procedures, and guidelines.
  • Manages client expectations and checks in regularly with sales manager to make sure contract is adhered too.
  • Responsible for generating gratuity sheets and sending to F&B Director as well as Sales Director.
  • Working with sales manager on establishing room blocks with central reservations team.
  • Posting revenue for all events as well as managing the quote and invoicing process to ensure client and sales process remains on the same page.
  • Works and helps to manage the scheduling of setup crew for various layouts for ceremony site, cocktail, reception, brunch, and other requests related to the event. Also helps to manage the breakdown of the event ensuring all venue spaces are reset or scheduling is in order for next event date.
  • Attending trades shows as requested to assist in prospecting new customers as well as manage booth expo space.
  • Assist with the planning, development, and execution of any resort wide events.
  • Follows all health and safety regulations.
