Description
Objective:
Assist Operations Manager in day-to-day coordination and management of business operational activities.
RESPONSIBILITIES
Essential Functions:
- Keeping accounts up to date in QuickBooks general, insurance, bank, credit, etc.
- Updating billing spreadsheet and customer accounts.
- Paying vendors and recording accounts payable in QuickBooks.
- Creating financial agreements and invoicing clients.
- Auditing insurance claims.
- Coordinating with managers and employees to collect timesheet data.
- Manage FTO system and leave requests.
- Running payroll and entering journal entry data into QuickBooks.
- Enrolling employees in health, vision, and dental, 401(k).
- Auditing expense reports and working with employees to stay on budget.
- Updating employee deductions in ADP.
- Maintain and facilitate employee trainings and documentation.
- Auditing human resources files and communicating any issues to Director of Operations.
- Creating and maintaining policies and procedures, job role functions and job descriptions.
- Collect data and create weekly/monthly/annual reports.
- Maintain confidentiality in all matters pertaining to clients, staff, and any other information this position may be privy to.
