Key Responsibilities

  • Manage daytoday property operations & maintenance of asset with a focus on promptly addressing tenant and client concerns.
  • Ensure the timely maintenance of all building operations and systems, including coordinating preventive maintenance work, readiness of mechanical equipment, and performance of asset.
  • Ensure that all properties successfully pass audits and company, city and state inspections, and remain compliant with local laws and national code.
  • Oversee all maintenance and repair activities, which involves obtaining quotes from vendors, scheduling and coordinating work, and reviewing completed tasks.
  • Ability to review corporate standard operating procedures for maintenance and implement program.
  • Collaborate with external contractors and vendors for specialized services.
  • Negotiate service contracts, from the bidding process to management of building contracts, and verifying that suppliers/service providers meet their contractual obligations (e.g., HVAC, cleaning, landscaping, snow removal, pest control, critical systems maintenance, etc.).
  • Ensure that all work performed by external parties meets quality and safety standards.
  • Assist in the development and management of the building maintenance budget.
  • Routinely review budget variances and communicate with community manager to meet financial goals of the property.
  • Monitor and control maintenance expenditures to meet budget goals and identify cost savings, if possible, without compromising the quality of work.
  • Respond to building emergencies by coordinating resources and providing guidance to resolve the situation and implement corrective and preventive actions.
  • Supervise construction projects and capital improvements as needed.
  • Enforce safety protocols and guidelines for all maintenance activities.
  • Conduct regular safety inspections and provide necessary training to ensure a safe work environment.
  • Investigate and report any workplace accidents or incidents.
  • Maintain accurate records of all maintenance activities, repairs, and inspections.
  • Prepare reports and documentation for management as needed.
  • Ensure compliance with regulatory and legal requirements.
  • Recruit, hire, lead, train, mentor and evaluate a team of building staff.
  • Administer disciplinary actions for all building staff.
  • Create and maintain a productive working environment by assigning and following up on daily tasks.
  • Approve weekly payroll and oversee all personnel actions.
  • Must be able to reside on site.
  • Able to remain stationary for extended periods of time, up to 50% of the work day.
  • Ability to move about the building(s) for meetings with tenants, vendors and staff.
  • Ascend / descend stairs and ladders, as well as positions oneself in small spaces for building inspections and maintenance.
  • Effectively communicate with tenants, vendors, staff and various departments within the company.
  • Recognize areas for improvement, detect issues and assess the best plan of action to rectify them.
  • Transport large or heavy objects (up to 50 lbs) throughout the property.
  • Exposure to a variety of environments to include varying weather conditions.
  • Must be present onsite, with the ability to move throughout the building, ensuring effective communication with tenants, staff, vendors, and visitors.
  • Ability to ascend and descend stairs and be comfortable with exposure to varying environmental climates and circumstances.
  • Position may be required to perform duties outside their normal responsibilities as needed.

Qualifications

  • A minimum of 4 years of experience in maintenance and staff management.
  • Ability to implement sustainable energy practices to optimize building efficiency.
