We are expanding our staff and seeking anExecutive Assistant to join the Hays Electrical Services team.
Key Responsibilities:

Calendar Management: Efficiently manage executive calendars, scheduling appointments, meetings, and project deadlines.

Document Management: Prepare, edit, and distribute documents, presentations, and reports as required. Maintain organized filing systems both physically and digitally.

Meeting Coordination:Arrange and coordinate meetings, conferences, and travel arrangements for the executive team, including booking accommodations and transportation.

Project Support: Assist in project coordination by tracking progress, managing documentation, and ensuring deadlines are met.

Vendor and Client Relations: Liaise with vendors, suppliers, and clients as needed, maintaining professional and positive relationships on behalf of the executive team.

Expense Management: Process expense reports, reconcile invoices, and track expenditures to ensure accurate financial record-keeping.

Research and Analysis: Conduct research and gather information on industry trends, competitors, and potential business opportunities to support decision-making.

Administrative Support:Provide general administrative support such as filing, copying, scanning, and other ad-hoc tasks as required.

Confidentiality:Handle sensitive information with discretion and always maintain confidentiality.
Qualifications:
- Bachelor's degree in business administration, Management, or a related field preferred.
- Proven experience as an executive assistant or in a similar administrative role, preferably within the construction or contracting industry.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills, with a keen eye for detail.
- Ability to work effectively both independently and as part of a team in a fastpaced environment.
- Discretion and professionalism when handling confidential information.
- Flexibility to adapt to changing priorities and requirements.
