Administrative Assistant

Position Description:

The position is the first point of contact for customers and employees and is responsible for looking after all aspects of a professional office environment.

The Administrative Assistant operates with direction from the Branch Administrator and may work on projects independently.


Responsibilities

  • Develop a clear understanding of the philosophies by which the company operates
  • Answer all phone calls with a smile in the voice and efficiently connects the caller with the requested contact or is able to advise the proper contact for the request.
  • Files vendor, customer, and personnel documents
  • Processes all outgoing mail and maintains the postage meter.
  • Manages incoming mail, properly distributing it to appropriate recipients.
  • Sends and receives express packages, matching charges with invoices.
  • Orders all office supplies and uniforms, regularly comparing prices and matching charges with invoices.
  • Sorts and stores all uniform and office supply deliveries
  • Welcomes visitors and makes them comfortable while waiting
  • Administrative assistance as needed.
  • Work closely with Branch Administrator to provide administrative support to branch and shop operations
  • Other duties as assigned

Qualifications

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and interpersonal skills
  • Ability to use PC and widely used software packages (Excel, MS Word, PowerPoint)
  • Ability to meet deadlines; accomplish work in order of priority.
  • Experience as a receptionist or in an administrative position in a fastpaced office environment. Landscape experience is e a plus.
  • English, Bilingual Spanish a plus.

WORK ENVIRONMENT
Work takes place in a clean, pleasant, and office setting. Generally, a 40- hour week, but could occasionally require extra hours, including evenings and weekends. Fast-paced and working under pressure is unavoidable.

Position requires frequent (More than 50%) standing, walking, and lifting (Routinely up to 20LB, occasionally up to 50LB) to file, copy, sort, and distribute uniforms, mail, and packages.

  • Clasifica y almacena todas las entregas de suministros de oficina y uniformes
  • Da la bienvenida a los visitantes y los hace sentir cmodos mientras esperan
  • Asistencia administrativa segn sea necesario.
  • Trabajar en estrecha colaboracin con el administrador de la sucursal para brindar apoyo administrativo a las operaciones de sucursales y tiendas
  • Otras funciones que le sean asignadas

Calificaciones

  • Excelentes habilidades de comunicacin verbal y escrita
  • Excelentes habilidades organizativas y habilidades interpersonales
  • Capacidad para usar PC y paquetes de software ampliamente utilizados (Excel, MS Word, PowerPoint)
  • Capacidad para cumplir con los plazos; realizar el trabajo en orden de prioridad.
  • Experiência como recepcionista o en un puesto administrativo en un entorno de oficina acelerado. La experiência del paisaje es una ventaja
  • Ingls, espaol bilinge un plus.
