PURPOSE:


The Medicaid and Payroll Support serves as a lifeline for vulnerable populations, ensuring that those reliant on Medicaid benefits receive the necessary support by creating organizational stability and upholding healthcare equity, accessibility, and operational continuity.

Additionally, this role is essential for maintaining uninterrupted financial operations and ensuring that employees are compensated accurately and on time, thereby safeguarding the stability and efficiency of the organization.


ESSENTIAL FUNCTIONS:


  • School Based Medicaid Reporting_
  • Develop and maintain knowledge of current Medicaid rules, statutes and government guidelines
pertaining to School Based Medicaid Services reporting

  • Ensure program compliance with applicable laws, regulations, policies, procedures and administrative
requirements.

  • Develop and maintain an understanding of Embrace, the District's Medicaid billing system.
  • Develop and maintain an understanding of the Public Consulting Group (PCG) Administrative Claiming and Cost Calculation system.
  • Complete quarterly Staff pool lists, quarterly Administrative Claiming, and Annual Cost Calculation in the PCG system.
  • Monitor Random Moment Time Study completion daily to ensure 85% completion threshold
  • Track staff completion of Medicaid reporting
  • Assist staff in obtaining parent consents and physician scripts.
  • Track required service delivery and billing audits in accordance with Medicaid policies and procedures,
  • Coordinate and provide Medicaid training and assistance to staff
  • Update training materials tip sheets, manuals, training documents.
  • Scan and upload records into Embrace
  • Payroll Support_
  • Review, calculate and enter payroll related data including but not limited to timesheets, overtime and withholdings information.
  • Assist with monthly and quarterly reporting.
  • Assist with processing Tax Sheltered Annuities (TSA's) and maintaining employees' 403b with third party administrators for the purpose of compliance.
  • Assist with maintaining records of retired personnel.
  • Assist auditors and provide requested documentation as needed.
  • Serve as a backup for Payroll.
  • Perform any other duties as assigned.

OTHER FUNCTIONS:


  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the program.
  • Facilitate an office atmosphere of service, competence and congeniality.
  • Support NSSEO policy, NSSEO, and governing board goals and objectives, and _The School Code of Illinois_.

  • Frequency of exposure to injury to self and/or others is seldom or not present.

MINIMUM QUALIFICATIONS:


  • High School Diploma or Equivalent minimum, Associates Degree or Bachelor's Degree in related field preferred
  • Ability to read, write and communicate in English to understand directions and communicate with students, staff and community.
  • Job related experience as an administrative assistant preferred.
  • Ability to make decisions in accordance with established procedures.
  • Proficiency in Google Drive and Microsoft Office, including Word, Excel, Access, and PowerPoint.

Ability is required to independently problem-solve, schedule daily activities, make announcements, and use job related equipment.
