General Scope of Responsibility:

The coordinator is responsible for the providers' surgery schedule, making certain that patient scheduling flows smoothly. They are responsible for making sure the prior authorization is current.

The coordinator schedules outpatient tests and procedures as ordered by the physician, documenting appointment information in the medical record.

They are responsible to continually monitor the schedule to look for inefficiencies and attempt to organize the surgery schedule by filling vacant operative room slots, providing reminder calls to patients and rescheduling patients as directed.


Essential Functions:

Clerical/Administrative

  • Posts/schedules all surgeries and office procedures. Completes appropriate paperwork, prepares surgical file and images, informs billing coordinator to obtain insurance preauthorization or obtains insurance preauthorization when billing coordinator is not available and communicates information to patients.
  • Confirming prior authorization is obtained and current for all procedures.
  • Coordinates preoperative device (grafts, stents, etc.) planning with vendors and is responsible for having devices in hand prior to the scheduled surgery.
  • Assists patient, patients' families, referring physicians and third-party carriers to resolve patient related issues.
  • Notifies PAT office at hospital to schedule laboratory and radiologic tests and presurgical testing.
  • Schedules and maintains appointments for vascular surgeons and NP/PAs.
  • Screens calls, takes messages and provides information to the surgeons and works with patients in a prompt, courteous and helpful manner.
  • Responsive for data entry of patient health information into EMR (eClinicalWorks) and typing correspondence/ documents.
  • Copies, sorts and assembles documents as needed.
  • Maintains and updates current information on physicians' surgery schedules.
  • Answers questions regarding patient's surgical appointments and testing.
  • Scans all reservations, patient forms and consent forms into ECW.
  • Reviews surgeons' schedules daily and adjusts as needed.
  • Adds on emergency cases or inpatients to surgeons' schedules.
  • Completes annual Medsafe compliance training.
  • Performs other duties as assigned.

Education/Experience:

a. High School Diploma or equivalent.

b. 5 years of Medical office experience preferred.

c. Ability to multi-task and prioritize

d. Computer Knowledge

Pay:
$ $25.28 per hour

Expected hours: 40 per week
