Essential Job Duties:


  • Partners with project team to provide coordination and support to the project management and sales teams
  • Responsible for the labor and travel coordination for Live Events technical staff, including booking internal and external staff resources, making travel arrangements for crew, and managing purchase orders for contract staff
  • Assists project managers with pre
- and post-event administrative duties

  • Is the internal (and possibly client facing) contact for the project team as a daytoday contact for coordination purposes
  • Works hand in hand with the accounting team to:
  • Gather contractor invoices
  • Obtain project manager approval of invoices
  • Request changes if necessary
  • Update purchase orders
  • Submit invoices for payment
  • Purchase card reconciliation:
  • Receive/collect contractor receipts
  • Attach to charge, assign job number, and post
  • Assist project managers with the project close out process, including working with the accounting department to ensure proper invoicing
  • Keeping Bluewater systems accurate and up to date
  • Additional duties as assigned

Job Requirements:


  • 25 years of project and labor coordination and/or customer service experience a plus
  • Good attitude and work ethic
  • Comfortable working in team setting
  • Computer literate (Microsoft Office Suite, ability to learn job specific software)
  • Must be able to multitask and track various projects simultaneously

Measures of Performance:


  • Completion of projectrelated documentation
  • Ability to accurately and efficiently staff events
  • Facilitate timely communication between all members of the project team
  • Project close out process
  • Overall communication with other members of the Live Events division
