This position requires strong clerical skills, including the ability to use Canva and other compatible software, proficiency in Excel and its formulas, data entry, administrative support, organization, and the ability to follow through on assigned tasks to support the day-to-day needs of the Susquehanna Area Senior Center, its mission, and goals.

The Administrative Assistant will also assist with professional duties such as fundraising, grant research, planning, developing, coordinating, and implementing programs.

Additionally, they will complete other duties as assigned. The Administrative Assistant will report to the executive director.


Hours:

Monday through Friday, from 7:30 am to 2:00 pm as determined, and as needed for evening and weekend events and trips.


Salary Rate:


RESPONSIBILITIES

  • Provide administrative and Office support to the Executive Director.
  • Coordinate member activities, schedule events, and ensure adequate arrangements are made to accommodate participants. Manage documents, participant registration, and trip forms.
  • Manage and keep Information Technology and systems up to date. Ensure that participants log in for activities, and meals for accurate meal and activity count.
  • Support the Food Program.
  • Report as required to York County Area Agency Aging, for example, Home Delivered Meals, undeliverables, congregate meals, complete monthly reporting tool, etc....
  • Manage communication tools, for example, Phone Systems, Copilot DialPad, Activity Book...
  • Recruit participants and volunteers in collaboration with the Executive Director and promote center activities within and outside the center.
  • Conduct surveys, ensure effective programming, and prepare promotional and informational publications.
  • Support participants' overall well-being.
  • Maintain member intake information and relay this information to the YCAAA and Rabbit Transit information per contract.
  • Complete the newsletter and monthly calendar of events and proofread before publishing.
  • General Housecleaning.
  • Help establish community partnerships and mailings. Research grant opportunities; and contribute ideas.
  • Administrative Assistant assists as needed in all areas, under the direction of the Executive Director; and other duties and responsibilities as assigned.

REQUIRED SKILLS:


  • Proficiency in management, clerical work, computer and data entry, accounts payable and receivable, with knowledge of Microsoft Office Suite, Google Docs, media, and social media platforms (internet platforms, Facebook, etc.).
  • Ability to organize records and prepare reports.
  • Patience and respect for the special needs of the aging population.
  • Ability to work effectively with staff, participants, volunteers, partners, and the public.
  • Must be able to pass a PA criminal background check.
  • CPR, First Aid, and ServSafe certification is required within the first 3 months of employment, or one must be willing to obtain these certifications.
  • Completion of 12 hours of approved training per year is mandatory, as required by the YCAAA.
  • Must have a current driver's license, own transportation, and be willing to transport participants to carpooling activities, and to support our Home-Delivered Meals program.
