The Office Manager is responsible for providing high-level administrative and executive support to the Managing Partner and other executive management, as well as managing office operations.

This position requires the ability to anticipate needs, think creatively, and offer solutions with a high level of professionalism and confidentiality.


Primary Responsibilities

  • Manages and maintains the Managing Partner's schedule, including travel, conferences, appointments, while troubleshooting conflicts; make judgments and recommendations to ensure smooth daytoday engagements
  • Serves as the primary point of contact for internal/external calls and directing them to appropriate executives and personnel
  • Reads and analyzes mail, submissions, letters, agendas, memos, and determines significance, routing them to appropriate personnel in a timely and efficient manner
  • Provides support to Executive Management by scheduling meetings, drafting agendas, compiling and analyzing information, distributing, preparing presentation material, and coordinating company events
  • Develops and utilizes historical information; provides retrieval of information. Records meeting discussions and provides minutes to appropriate personnel
  • Maintains knowledge by attending professional and technical educational seminars and workshops; reviews publications; establishes professional and personal networks within the industry
  • Provides a broad variety of administrative tasks that will facilitate the Managing Partner's ability to effectively lead the company, such as composing and preparing correspondence, maintaining contact lists, completing expense reports, and delegating tasks and responsibilities to other personnel when appropriate
  • Prepares and develops a records management system; maintains and recommends changes to the records system when appropriate
  • Interacts with customers when appropriate, problem solves, and documents complaints, developing an appropriate course of action. Reports problems to executives when they cannot be resolved for attention.
  • Applies or renews company business licenses.
  • Provides hospitality to all personnel, customers, the Board of Directors, and guests to create a welcoming environment
  • Manages office operations, including procurement of office supplies, equipment maintenance, and vendor relationships
  • Oversees facilities management, ensuring a safe and productive working environment
  • Coordinates office events and activities, such as team meetings, celebrations, and training sessions
  • Supervises administrative staff and provides guidance and support as needed
  • Other duties as assigned.

  • Exceptional organization skills and prioritization for tasks at hand.
  • Demonstrates flexibility to effectively deal with changing priorities and timelines through analytical problemsolving.
  • Proven time management and followthrough skills with the ability to work on multiple tasks with tight deadlines.
  • Ability to work both independently and in a collaborative teamoriented environment.
  • Displays superior written and oral communication skills and effective listening skills.
  • Maintains a tactful, mature, and professional demeanor with welldeveloped interpersonal skills, including the ability to work with diverse personnel.
  • Makes appropriate, informed decisions regarding priorities and available time.
  • Ability to react with appropriate levels of urgency to situations and events that require quick responses or turnaround times.
  • Excellent judgment is essential.
  • High level of discretion and confidentiality.

Education and/or Experience

  • A minimum of 5+ years as an Executive Assistant supporting Clevel executives.
  • High School Diploma.
  • High Volume environment.
  • Experience with Microsoft Office Suite.
  • Notary License is a plus.
