Description
In this job, you will be the main contact in providing administrative support for our Cypress, CA office location. In addition, you will assist in helping with our other California regional offices remotely. You will be interacting daily with management, staff, and external contacts. This role is vital for a smooth-running effective operating business.

Our office admin will be responsible for completing tasks and duties for the entire office staff, a specific department or an individual who usually serves in a leadership role.

Main responsibility, to make sure the office is operating effectively and complete smaller tasks to help other employees and managers efficiently complete larger work items.

Some of these tasks include taking minutes, managing employee calendars, making appointments, booking travel arrangements, ordering office materials, and managing records and reports.


Minimum Requirements

  • Must pass drug screen test.
  • Must have a valid driver's license with a dependable vehicle.
  • Perform with mínimal supervision, possess excellent organizational skills, and work well under pressure to meet changing deadlines.
  • A high degree of people skills to manage sensitive and confidential situations, demonstrated poise, tact, and diplomacy.
  • Possess critical thinking skills to be able to evaluate and solve problems with mínimal supervision.

Duties and Responsibilities

  • SAFETY Always maintain a safe working environment for yourself and the team, including on site and in office.
  • You will be the first face that most people see when they enter an office. Therefore, it is important to represent our company's values and culture from the first contact with employees and guests.
  • Serves as a backup to other administrative support across the department/multiple regions as needed.
  • Order supplies and equipment, submit and track repair/maintenance orders.
  • Book necessary travel arrangements and manage all travel expense receipts.
  • You may be asked to travel to assist with other offices for additional onsite support.
  • Assisting and directing employees in all administrative questions or concerns
  • Manage multiple calendars, including scheduling and coordinating meetings, and conference calls for project and management staff.
  • File electronic documents, including processing invoices, contracts, supply orders, purchase requests, and expense reports. Performs other duties and responsibilities as assigned per management.
