Description

Purpose:

The Executive Administrative Assistant is responsible for driving special projects, acts as main contact for Board of Directors, participates in selected external meetings, and assists in managing the office and schedule of the CEO.

The Executive Administrative Assistant reports directly to and works closely with the CEO and his/her Executive Team.


As a key member of the Executive Team, the Executive Administrative Assistant will also support strategic partners on key CEO-related tasks and projects.

Working within the Executive team, this position has responsibility for handling and managing the Executive team's high-level administration of relevant content as well as a high degree of attention to office and administrative tasks.

The Special Assistant is responsible for supporting the CEO through a combination of project management, writing and editing, research, and administrative support.


Education Requirements:


  • Associate degree (or higher)

Experience Requirements:


  • Solid organizational skills including attention to detail and multitasking skills.
  • Excellent written and verbal communication skills.
  • Consistent high quality customer service approach for all
  • Strong working knowledge of Microsoft Office.
  • Selfdirected and familiar with the behavioral health field.
  • Demonstrate high energy levels & work.

Essential Duties and Responsibilities

  • Manage the CEO schedule aligned with priorities and anticipating steps ahead:
  • Coordinate and manage the CEO's calendar and proactively organize his time as required using expert judgment and discretion.
  • Manage internal and external communications to ensure flawless scheduling.
  • Prepare materials for conference calls and meetings.
  • Draft and circulate notes from internal and external meetings.
  • Act as reliable point person for the Board of Directors, including scheduling board and committee meetings, prepare materials and notes, complete and disseminate minutes, and ensure action steps are completed.
  • Prepare talking points, presentations and proposals for internal and external meetings, as needed.
  • Participate in meetings, taskforces, and workgroups both internally and externally.
  • Proactively identify needs from the team and identify opportunities to create processes and systems to streamline office flow.
  • Provide members of the Executive Team with requested information, communicate with different parties, develop, and monitor plans, keep track of responsibilities.
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Manage special projects for the CEO:
  • Support and coordinate projects with key stakeholders and network providers.
  • Develop a detailed project plan to track progress and ensure that all projects are delivered ontime, within scope and within budget.
  • Develop project scopes and objectives, involving all relevant stakeholders and ensuring technical feasibility.
  • Measure project performance using appropriate systems, tools and techniques.
  • Create and maintain comprehensive project documentation.
  • Perform other duties related to the position as assigned.

Pay:
$65, $70,000.00 per year

Experience:
