Description

We are seeking a highly organized and detail-oriented Membership and Project Coordinator to join our team and help us to manage our growing membership base and outreach to prospects and assist with the tracking of ongoing projects.


Job Description:


As a Membership and Project Coordinator at CIMM, you will play a crucial role in maintaining our membership database, tracking dues and payments, and overseeing the status of various research projects.

You will help ensure that project updates are scheduled and communicated effectively, that new member prospects and leads are nurtured, and that members are informed and engaged with CIMM's wide range of activities.


Responsibilities:

Membership management and list maintenance

  • Track membership dues and payments, ensuring timely invoicing and collection.
  • Respond promptly to member inquiries and provide assistance with membershiprelated matters.
Prospect engagement

  • Support active management of prospect list and help to coordinate effective outreach.
  • Provide initial response to inbound inquiries about membership and getting prospect meetings on Jon and Tameka's calendars.
  • Keep track of prospect engagement until conversion.

Project status tracking:

  • Collaborate with project leads to gather and update project status information.
  • Maintain a comprehensive project status tracking system to monitor progress and identify potential issues.
  • Generate summaries of project status for management and members.
  • Support interview programs for projects, maintaining up to date interview trackers.

Communication and coordination:

  • Coordinate project update schedules and ensure timely communication with project stakeholders.
  • Collaborate with project leads to schedule and facilitate project meetings and updates.
  • Support scheduling of Working Group meetings.
  • Assist in the development of projectrelated materials and presentations.
  • Support onsite at CIMM's inperson events.

Data Analysis and Reporting:

  • Analyze membership data and project status information to identify trends and opportunities
for improvement.

  • Prepare regular reports on membership statistics and project status for leadership.

Qualifications:

  • Bachelor's degree in business administration, communications, or a related field (preferred).
  • Previous experience in membership management, project coordination, or related roles.
  • Exceptional organizational and time management skills.
  • Interest in media and advertising industries.
  • Proficiency in data management and CRM software (e.g., Salesforce, Microsoft Excel,
Google Sheets).

  • Strong communication and interpersonal skills.
  • Attention to detail and ability to work independently.
  • Proactive problemsolving abilities.
  • Team player with a collaborative mindset.
  • Prior experience in a nonprofit organization or association (a plus).
