    RESPONSIBILITIES

    · Provides advanced level administrative support to the DHO JV Security Branch staff.

    · Data entry into cloud based and local electronic data management systems such as Microsoft Office Suite, SharePoint, Aconex and project's incident management system.

    · Creates intermediate to advanced level electronic documents/files; checks work for consistency and accuracy and copies and distributes documents as necessary.

    · Provides support during audit and external review preparations.

    · Maintain a calendar for the DHO JV Security and proactively assist in resolving scheduling conflicts.

    · Provides DHO JV Security support, including the production of agendas, scheduling, distribution of meeting notifications, collecting relevant files/papers, taking/distributing minutes.

    · Provides DHO JV Security Support in the field as required for surveillances, administrative support for security operations at each construction site, photography.

    · Update and maintain the following administrative programs:

    • DBIDs access to JBPHH
    • CIA access for PHNSY&IMF
    • Photo Permits for NAVFAC OICC and PHNSY&IMF
    • Manage the Parking Permits for DD5, Waipio, and Aloha Stadium-Richardson Field
    • Manage and Coordinate with NAVFAC OICC on the Light Weight Vehicle Pass (LWVP) Program
    • Monthly Management Reports
    • DHO JV Security Self-Assessment

    · Assist in preparing employees by conducting project orientations, Security related training and coaching employees.

    · Contribute to DHO JV Security by researching, developing, writing, and updating policies, procedures, methods, and guidelines.

    · Maintain knowledge of company values and strategic policies and procedures

    · Support published corporate and joint venture policies as distributed by department managers.

    · Other duties as assigned by the DHO JV Security Manager, including but not limited to actively participating and/or serving in a supporting role to meet the project's obligations for implementing and monitoring security compliance, disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.

    REQUIREMENTS

    · Must have a valid driver's license.

    · Ability to pass a basic background check for access to Joint Base Pearl Harbor Hickam

    · Minimum 3 years Administrative Assistant work experience.

    · Ability to communicate effectively with audiences that include but are not limited to management, coworkers, clients, vendors, contractors, and other stakeholders.

    · Ability to interact professionally with employees and clients of various levels.

    · Strong organizational skills.

    · Thorough attention to detail.

    · Excellent verbal and written communication skills.

    Starting salary $41,000
