Basic Function:


  • Airvac is the global leader in the Vacuum Technology System industry. The primary function of our Shipping & Receiving Coordinator is to receive, package, and ship material. They coordinate the movement of products, ensuring accurate documentation, and maintaining efficient communication with various stakeholders.

Duties & Responsibilities

  • Receives incoming materials and moves to appropriate warehouse stock locations after receipt and quality inspection.
  • Assists with pulling quality control samples.
  • Verified incoming part counts and works with Procurement to correct any issues or discrepancies.
  • Ensures incoming materials are properly labeled and stored safely in proper locations.
  • Maintains accurate records of all incoming and outgoing shipments.
  • Stages materials for fabrication department projects and updates project material workflow.
  • Uses intranet to arrange customer orders and notify Logistics that order is staged for shipment.
  • Works with Parts Sales and Logistics personnel estimate order shipment dates and parts weight and dimensions.
  • Assists Supervisor/Manager with ontime shipping key point indicator (KPI) goals.
  • Collects and organizes shipping documents including BOLs, product labels, safety data sheets (SDS), and specific instructions or deviations.
  • Packages orders for shipment using various items and equipment including boxes, packing material, hand tools, strap bander, shrinkwrap machine, and foam machine.
  • Operates forklifts, pallet jacks, and work assist vehicle (WAV) as needed.
  • Prepares UPS, FedEx, DHL, and freight orders per shippers instructions.
  • Takes and uploads photos of picked and packaged orders under each order on intranet.
  • Assists with general housekeeping of warehouse and work area.
  • Maintains a general understanding of the ISO 9001:2015 quality management system and quality objectives.
  • Performs various other duties as assigned by Supervisor/Manager.

Required Skills:


  • High School Diploma or GED.
  • 2+ years' experience in shipping, receiving, or warehousing.
  • Excellent verbal and written communication skills.
  • Excellent time management and organizational skills with willingness to adapt to changing priorities and handle multiple tasks simultaneously.
  • Ability to work as a team in a collaborative environment as well as individually.
  • Software proficiency to include Windows and Microsoft Office. Sharepoint and SAP experience preferred.
  • Certified forklift operator or ability to become certified.

Required PPE

  • Steeltoed/Compositetoed shoes, hard hat, safety vest, etc. will be provided as needed.

Physical Demand Category

  • Sedentary Work Exerting up to 10 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time. Jobs are Sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
  • Light Duty Exerting up to 20 pounds of force occasionally, or up to 10 pounds of force frequently, or a negligible amount of force constantly to move objects.

(1). Walking or standing to a significant degree; or (2). Sitting most of the time but entails pushing or pulling of arm or leg controls; or (3). Working at a production rate pace entailing constant pushing or pulling of materials even though the weight of those materials is negligible.

  • Medium Work Exerting 21 to 50 pounds of force occasionally, or 11 to 25 pounds of force frequently, or greater than negligible up to 10 pounds of force constantly to move objects.
  • Heavy Work Exerting 51 to 100 pounds of force occasionally, or 26 to 50 pounds of force frequently, or 11 to 20 pounds of force constantly to move objects.
  • Very Heavy Work Exerting in excess of 100 pounds of force occasionally, or in excess of 50 pounds of force frequently, or in excess of 20 pounds of force constantly to move objects.
