JOB SUMMARY:

The Patient Care Secretary is responsible for answering the telephone and directing calls; secretarial duties; data entry; processing office mail; volunteer services; and being available for special projects compatible with duties.

You will play a key role in facilitating communication, managing records, and providing exceptional customer service to all stakeholders


QUALIFICATIONS:


  • Hospice, or Home Health experience highly preferred, other healthcare industry experience will be considered.
  • One year of recent receptionist/secretarial/office assistant experience, including experience with busy, multipleline telephone systems.
  • Highly organized, able to handle multiple and shifting assignments and present a professional image.
  • Excellent customer service and verbal communication skills.
  • Familiarity with medical terminology desired
  • Essential Functions:
  • Proficient with all aspects of data entry in operating systems as applicable, and Microsoft Office Suite, including but not limited to Microsoft Excel, and Word.
  • Performs Referral/Intake duties and responsibilities. Maintains a daily update log and report of pending referrals, admissions, changes in care and discharges.
  • Enters data into Electronic Medical Record (EMR) systems promptly to ensure prompt access to care and accurate reporting of operations, such as census. Includes management of patient medical records and uploading to EMR systems.
  • Assists Clinical Director with coordination of care by receiving/placing calls, making appointments, and faxing visit notes, discharge summaries, or other communications to the offices of patients' physicians as needed.
  • Facilitates excellent continuum of care by compiling and sharing relevant patient information with other healthcare providers to whom the patient has been referred.
  • Provides appropriate patient information as required to substantiate authorization requests for visits, medications, or Durable Medical Equipment (DME).
  • Maintains office/branch manuals as needed; i.e. administrative binder.
  • Responsible for the ordering of medical supplies and office supplies within budgeted guidelines.
  • Responsible for submitting invoices to responsible person(s) per policy timelines.
  • Assists in performing billing audit tasks that require followup with corrections.
  • Responsible for clerical functions in agency related to filing, work flow, etc.
  • Assists Clinical Director with preparation for Interdisciplinary Group meetings, e.g. patient lists, employee signin sheets).
  • Assures that all telephone traffic is managed in a professional, customer service oriented manner and is relayed to the appropriate people.
  • Participates in Performance Improvement Plan and processes.
  • Responsible for inventory of medical and office supplies and equipment.
  • Coordinates outgoing and incoming faxes and mail for assigned office location(s).
  • Assists the Clinical/Administrative Directors as needed in other agency processes and functions.
  • Any other duties as assigned by Administrator.

$ $20.75 per hour
