Summary of Duties:

The Consulate General of Canada in New York is seeking to hire a Program Assistant in the Immigration section. This is an exciting opportunity to contribute to the future of Canada.

We are seeking a hard-working, collaborative and results-oriented person, with strong attention to detail and a commitment to client service.

Under the direct supervision of the Migration Program Manager, this person will support the delivery of Immigration, Refugees and Citizenship Canada's (IRCC's) Programs through:

- assisting in budget management, promotion, recruitment and liaison activities;
- organizing work, tracking resources, and resolving difficult issues;
- supporting program integrity;
- developing and sending correspondence;
- providing a source of knowledgeable information and assistance to officers, clients, and stakeholders, both internal and external;
- establishing and maintaining good working relationships with colleagues in other sections of the mission and external stakeholders, to perform day-to-day operational activities and address specific issues;
- providing administrative support for meetings, committees, conferences, presentations, project teams, or working groups to support the IRCC program, the mission, or partners;
- contributing to the onboarding or on-the-job training of colleagues. May assist more senior colleagues gain familiarity with local office processes, documents, and culture; and
- providing administrative support, reporting and tracking relating to mission, IRCC, GAC and Government of Canada administration, travel, finance, budget and reporting.

ESSENTIAL QUALIFICATIONS

  • Language will be assessed further during the process.

Education:


  • Completion of a postsecondary education credential of at least three years;
    or:
  • An acceptable combination of experience, education and training.

Language:

An advanced proficiency level in English (oral and written)


Experience:


  • Minimum 2 years of recent* experience within a team environment providing services to the general public/clients in an administrative support or program assistant capacity in a corporate, government, or nongovernment organization.
- _Recent experience is defined as within the last 5 years._


RATED REQUIREMENTS
The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies.

Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.

  • Experience with immigration matters; and

Operational Requirements:


  • Normal hours of work for this position are in accordance with the Locally Engaged Staff (LES) regulations of 37.50 hours per week, Monday to Friday;
  • Occasional overtime, including evenings and weekends, may be required with advance notice; and
  • Willing and able to travel domestically and internationally alone or with colleagues, as required.

Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.


  • Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.
  • Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.
