Work Day: 8 hours (8:00am to 4:00pm - with a 40 minute lunch)
Starting Salary Range:
$62,000 to $69,000 (commensurate with education and experience)

Minimum Qualification:
Graduation from high school or possession of a high school equivalency diploma AND:
Either:
(A) Completion of two years of college/business school and one year of full-time paid secretarial/general office experience which included public contact and involved the use of computers to maintain records and produce correspondence, spreadsheets, reports, etc.;
or:
(B) Three years of full-time paid secretarial/general office experience which included public contact and involved the use of computers to maintain records and produce correspondence, spreadsheets, reports, etc.
Description:
This is a responsible clerical position involving performing various secretarial and administrative tasks while serving as Secretary to the Superintendent of Schools.
The incumbent relieves the department head of administrative detail and works with sensitive, confidential information, exercising discretion in its handling.
Duties vary widely because the position greatly depends upon the particular style and needs of the administrator. The position requires the exercise of independent judgment. There is considerable contact with the public.- Serves as personal secretary to the Superintendent of Schools.
- Greets and assists the public, school personnel, and students.
- Coordinates and maintains the Superintendent's calendar.
- Coordinates all administrative meetings, retreats, and district-level team gatherings.
- Receives and screens calls from administrators, staff, parents, and the public, using discretion as to what should and should not be released; providing pertinent messages to the Superintendent and/or other administrators as appropriate.
- Composes routine correspondence; prepares and processes a variety of complex documents, forms, and reports, including proofing for spelling, format, and appearance.
- Screens mail received and shares related correspondence, reports, or records before submitting to the Superintendent.
Superintendent Hearings:
prepare documents and coordinate with building administrators and Hearing Officers. May contact legal for assistance with hearings.
- Prepares and compiles budget projections for the Superintendent's budget codes; prepares narrative justifications for budget purchases relating to office supplies and expendables; tracks budget expenditures and recommends adjustments as necessary.
- Prepares requisitions for office supplies, mileage reimbursements, food purchases for district office meetings, conferences, workshops, travel costs, etc.; processes invoices for payment.
- Prepares monthly mileage & reimbursement for the Superintendent.
- Maintains petty cash account.
- Registers the Superintendent for workshops, conferences, and travel/mileage.
- Coordinates and organizes Annual Professional Performance Reviews.
- Maintains all office files, including developing filing procedures, cross-referencing filing, and maintaining file logs; prepares retention schedules; and oversees file purging.
- Takes and transcribes dictation of a specialized technical/legal nature.
- Acts as a technical resource within the office for general administrative matters.
- Handles many details necessary for an administrator to run a program, including tracking through logs and tickler files and collecting, compiling, and editing data.
- Gathers and prepares confidential information for contract negotiations.
- May arrange various awards ceremonies, receptions, and other special events, including reservations, publicity, speaker scheduling, etc.
- Maintain the Superintendent's page on the district website.
- Responsible for the coordination of information for various newsletters to ensure deadline completion.
- May serve as a backup to other clerical employees.
- Other duties assigned by the Superintendent of Schools.
Pay:
$62, $69,000.00 per year
