As an Office Secretary at Virginia Auction Company, Inc., you will serve as the backbone of our office, supporting our team with a variety of tasks that are essential to our daily operations.
Key Responsibilities:
- Running Errands:
- Efficiently and accurately handling various errands such as picking up and delivering documents, packages, and supplies.
- Coordinating and organizing tasks outside and inside the office to ensure timely completion.
- File Creation and Management:
- Creating and maintaining both physical and digital filing systems to organize documents, records, and reports.
- Scanning, indexing, and archiving documents for easy retrieval.
Office Secretarial Duties:
- Greeting and directing visitors, clients, and staff in a professional and friendly manner.
- Answering and directing phone calls, taking messages, and transferring calls to the appropriate parties.
- Ordering and maintaining office supplies, ensuring that the office is wellstocked and organized.
- Assisting in scheduling appointments, meetings, and managing the office calendar.
Qualifications:
- High school diploma or equivalent; additional secretarial or administrative certifications are a plus but not required.
- Proven experience in a similar secretarial or administrative role.
- Strong organizational and timemanagement skills with great attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Familiarity with office equipment, such as printers, scanners, and fax machines.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Reliable transportation for running errands as required.
