Position Overview:The Division of Developmental Disabilities is seeking to hire an Office Administrator III for the Ludeman Developmental Center located in Park Forest, Illinois to direct and assign activities of lower-level staff engaged in the preparation of payroll and maintenance of timekeeping records. Coordinates posting of payroll transactions. Reviews work in progress for accuracy, established procedures, and counsels' employees on proper work procedures and new policy directives. Answers questions regarding Payroll/Timekeeping matters. Reviews records for supervisors and administrators. Provides in-service training regarding timekeeping procedures.


Responsibilities:


  • Directs and assigns activities of lowerlevel staff engaged in the preparation of payroll and maintenance of timekeeping records.
  • Serves as a working supervisor.
  • Verifies appropriate deductions and revocations are made to Payroll system when authorized by the employee.
  • Responds to inquiries related to the Retirement System.
  • Answers questions regarding payroll/timekeeping matters.
  • Provides inservice training regarding timekeeping procedures.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications:


  • Requires knowledge, skill and mental development equivalent to completion of two (2) years of study at a secretarial/business college and one (1) year of office experience or completion of high school and three (3) years of Office Assistant experience or three (3) years independent business experience.
  • Requires the ability to keyboard accurately at 30 wpm.

Preferred Qualifications:


  • Five (5) years of experience monitoring, entering and directing the processing and/or transmitting of payroll data for a pubic or private organization.
  • Three (3) years of experience supervising staff, assigning and reviewing work, providing guidance and training for a public or private organization.
  • Three (3) years of experience working in a public or private organization maintaining confidentiality and handling sensitive information with professionalism.
  • Three (3) years of experience meeting deadlines with strong attention to detail and the ability to utilize critical thinking skills while multitasking multiple projects.
  • Three (3) years of experience utilizing office procedures and programs for a public or private organization.
  • Five (5) years of basic proficiency using personal computers, including Microsoft, Word and Excel.

  • Requires the ability to utilize office equipment, including personal computers.
  • Requires the ability to work after business hours, weekends and holidays.
  • Requires the ability to travel in the performance of job duties.
  • Requires ability to pass the IDHS background check.
  • Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
