Reporting directly to the Registrar and working closely with the Associate Registrar, the Academic Records Coordinator is primarily responsible for the review, evaluation, and equation of external credit for prospective, admitted, continuing, and returning students.

The Coordinator will provide a high level of customer service to students and staff and will collaborate closely with academic stakeholders in determining accurate evaluation of external credit.

This position assists with administering student enrollment activities and general administrative tasks, such as filing, data entry, and document management.

The Academic Records Coordinator assists with maintenance of student records by ensuring accuracy, integrity, and confidentiality of information.

  • Hours of operation are Monday
  • Friday, 8:00 am 5:00 pm. Hours may vary._

Responsibilities:

(50%) Evaluation of Transfer Credits

  • Analyze and review course descriptions and make decisions to determine the transferability of credits for incoming Firstyear students, transfer students, currently enrolled students, and prospective students.
  • Update and provide ongoing process improvement analysis to ensure current credit articulation tables.
  • Interpret, translate, incorporate, and answer questions regarding university, State of Pennsylvania, and federal requirements, policies, and revisions to determine transferability of courses and alternative credit and update transfer articulation tables.
  • Serve as transfer student liaison to the Admissions, Graduate and Adult Education, and International Admissions Offices.
  • Identify courses of action and make recommendations to the Admissions, Graduate and Adult Education, and International Admissions Offices staff to enhance transferability of credit.
  • Maintain all transfer and articulation data accuracy by running various reports to ensure all data is maintained at a high accuracy rate.
  • Work closely with all admissions offices, transfer students, academic departments, and advisors, as well as conduct all necessary communication with other pertinent constituents.
  • Work with team members to develop and implement new processes or procedures to enhance credit articulation and/or the student experience with transferring credit to ensure quality customer service.
  • May assist in testing changes to the system designed to streamline transfer articulation process.
(15%) Maintain accurate student records in Student Information System

  • Process registrations and assists with the creation of student schedules as requested.
  • Process adds, drops, and withdrawals within the guidelines of institutional policy.
  • Process approved grade changes, course substitutions, prior learning credit, and credit by exam as advised by the Registrar or Associate Registrar.
  • Assist the Associate Registrar with auditing student records for fulfillment of graduation requirements.
  • Maintain student community service records on student transcripts based on reporting from Advising.
(15%) Process student record requests including verifications and transcripts.

  • Process transcript and verification requests through National Student Clearinghouse.
  • Troubleshoot transcript or verification issues, as needed.
(20%) Miscellaneous Responsibilities

  • Support the Berks County Consortium and OCICU registration and reporting process.
  • Support the registration and grading of Dual Credit students; provide class and grade sheets.
  • Assist with Connection Day advising/registration, as needed.
  • Assume additional responsibilities and duties assigned by the Registrar or Associate Registrar.

Requirements:


  • Highly detailoriented and assists with interpreting policy and procedures as it relates to articulation and entering data into the student information system.
  • Advanced ability to locate, analyze, and act upon errors in college and alternative credit information.
  • Proficiently perform mathematical calculations, including addition, subtraction, multiplication, and division of whole numbers, decimals, and fractions in order to calculate percentages.
  • Knowledge of the Family Educational Rights and Privacy Act (FERPA).
  • Compare and contrast items and information from print, electronic, and online media.
  • Classify information according to established methods.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Knowledge of computerized student information systems.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to foster a cooperative work environment.
  • Ability to develop and maintain recordkeeping systems and procedures. Ability to maintain confidentiality of records and information.
